The Role

We are looking for a highly organized Sales Group Coordinator to manage meetings and travel for our Sales and Business Operations teams. In this role, you will be coordinating meetings, managing travel, controlling expense reports, interfacing with customers and vendors, and establishing processes as the role develops.

Bringing your experience in a similar role and your solid knowledge of scheduling practices, excellent written and verbal communication skills, and ability to manage multiple calendars, you will add value immediately. Responsibilities

  • Maintain and update schedules, calendars, and agendas for our sales and business group.
  • Verify availability of internal and external participants for planned meetings.
  • Confirm appointments, arrange meeting venues, order catering, and ensure meeting materials are prepared in advance.
  • Send out reminders of scheduled meetings and reschedule or cancel meetings in a timely manner when required.
  • Coordinate travel and lodging for internal stakeholders.
  • Keep stakeholders informed of project timelines and associated deadlines.
  • Answer scheduling queries via email, phone, or other inhouse tools.
  • Complete and submit timely and accurate expense reports.
  • Document scheduling processes and keep proper records.
  • Perform other administrative tasks when required.

Qualifications

  • High school diploma or GED required. Associate's or bachelor's degree in business administration or in an industry-related field preferred.
  • 2+ years’ experience in a similar role.
  • Advanced proficiency in scheduling software such as Calendly and with office software, including MS Word, Excel, Power Point, and Outlook. Experience with Concur travel management system would be a plus.
  • Advanced knowledge of confirming and rescheduling appointments and recordkeeping practices, as well as ability to keep stakeholders informed of schedule changes and to answer queries.
  • Ability to coordinate meetings with venue availability and consideration of international time zones.
  • Ability to prioritize conflicting needs, handling matters expeditiously, proactively, and following-through often with deadline pressures.
  • Proven ability to handle confidential information with discretion and excellent organizational, interpersonal, and communication skills.

How You’ll Know You’re on the Right Track

  • Within your first 90 days, you will be managing the schedules, travel, and logistics for the Sales and Business senior leadership.
  • Within your first 180 days, you’ll be fully managing all schedules, travel, and logistics for the Sales and Business teams.
  • By the end of your first year, you will have established the tools, templates, and processes which other coordinators will ultimately follow as the company grows.

Job Type: Full-time. Compensation based on experience.
