Are you ready to be the heartbeat of a vibrant, thriving clinic? In this dynamic, multifaceted role, you'll be the go-to person who ensures everything runs smoothly—keeping our space organized while also leading a team dedicated to delighting our patients and driving sales. As our Clinic Operations & Patient Experience & Sales Manager, you’ll handle the logistics that keep the clinic humming, and you'll also guide your team to deliver exceptional care with a smile while meeting sales goals. This role is all about bringing a balance of organization, leadership, and a positive, sales-oriented mindset to create an uplifting environment for everyone.

Facility Coordinator Responsibilities: You're the champion of coordination, making sure the clinic is always ready to welcome patients with open arms! Your knack for logistics keeps the place running like clockwork.

  • Courier and Mail Handling: You’re the master of the mail! Handle all incoming and outgoing courier items with precision and care.
  • Supply and Equipment Management: Keep the shelves stocked and the equipment rolling! You’ll monitor supplies, coordinate repairs, and purchase essentials like Naturopathic test kits and uniforms.
  • Inventory Control: Conduct weekly and annual inventories—because we like to be on top of everything!
  • Technical Support: Be the office tech guru! Troubleshoot office equipment, ensuring everything from computers to printers are in tip-top shape.
  • Contractor Relations: You'll be the friendly face liaising with contractors—from janitors to plant care providers—ensuring everything sparkles and shines.
  • Facility Rentals: Negotiate space rentals like a pro! Our clinic is in demand, and you'll keep everything running smoothly.
  • Health and Safety Compliance: You're the safety superstar! Maintain our first aid kits, AEDs, and safety equipment to ensure a secure environment.
  • Security: Be the keeper of the keys and passcodes, ensuring the clinic remains safe and sound!

Patient Services & Sales Leadership Responsibilities: Step into a leadership role that makes a difference! You’ll lead the Patient Services Team with positivity and warmth, while also focusing on driving patient engagement and meeting sales targets.

  • Team Scheduling: Like a conductor of a symphony, you’ll craft and manage schedules, ensuring smooth operations every day.
  • Staff Onboarding: Welcome new team members like family, training them on Jane (our super-user-friendly clinic management software) so they can hit the ground running.
  • Performance Monitoring: Keep an eye on Key Performance Indicators (KPIs), tracking staff bookings, and celebrating wins when targets are met.
  • Team Supervision: Be the coach your team needs! Mentor, guide, and empower them to provide top-notch patient care with every interaction.
  • Sales Growth: Inspire your team to meet or exceed sales goals, driving patient engagement with services, products, and membership offerings. You'll help identify opportunities to increase revenue through new patient bookings and upselling relevant services.

Patient Care, Sales, and Administrative Responsibilities: You’ll be the friendly face and helpful hand that every patient looks forward to seeing. Your role makes each visit memorable—helping people feel comfortable and cared for, while also encouraging them to explore new services and products.

  • Patient Support: Greet patients with joy, answer their questions about services, products, and ongoing marketing initiatives, and ensure they feel welcome. Your enthusiasm can inspire patients to book additional services or purchase wellness products.
  • Sales and Patient Engagement: Actively promote clinic services, products, and programs like our membership plans and PsyQi mental fitness offerings. Your passion for what we do will help patients see the value of investing in their health.
  • Communications Management: Be the voice of the clinic! Handle incoming and outgoing calls, voicemails, and emails with efficiency and a personal touch.
  • Team Communication: Keep the team connected by ensuring prompt communication on Slack—it’s our lifeline!
  • Issue Resolution: Be the go-to problem-solver! Address patient concerns and ensure that every complaint is met with a solution and a smile.
  • Clinic Cleanliness: Help us keep the clinic as gorgeous as it is! From the waiting room to treatment rooms, you’ll ensure everything is spotless and welcoming.

Administrative Tasks:

  • Patient Check-In and Out: Make every patient’s check-in/out experience smooth, from verifying insurance to handling third-party claims.
  • Appointment Scheduling: Schedule appointments with ease and efficiency—whether over the phone, via email, or online.
  • PsyQi Support: Assist with PsyQi scheduling, daily tasks, and Discovery calls. Become educated (trained) on our psychedelic medicine programs.
  • Daily Reconciliation: Ensure financial reconciliation is spot-on, making sure every transaction is accounted for.
  • Record Management: Keep patient records up-to-date and stored securely. Confidentiality and organization are your superpowers!
  • General Office Support: Assist with everyday office tasks like copying, faxing, and scanning—keeping things running smoothly.

Pay: $22.00-$26.00 per hour

Expected hours: 35 – 40 per week
