Job Description

Position Summary: Responsible for assisting the Sales Department with clerical duties and daily functions, including but not limited to guest receptions, banquets and working as host/hostess for planned events as directed.

Essential Duties & Responsibilities  Works as ambassador for the hotel.

 Consistently works to maintain guest satisfaction.

 Types contracts, banquet event orders, weekly function sheets, group rooming lists, proposals and correspondence.

 Responsible for sending out guest evaluation forms for all functions.

 Distributes function sheets to all respective departments and event signage.

 Responsible for creating and maintaining customer files in Sales system/ Customer Relations Management (CRM) database. Ensure group inventory in Sales system and Property Management System comply. Ensure Sales system group and event amounts are accurate and comply with the Profit and Loss (P&L).

 Meet goals as set by General Manager/Director of Sales.

 Direct and attend weekly meetings with all necessary department heads to properly disseminate, discuss and review group booking requirements and Banquet Event Orders (BEO) for functions, meetings and or events.

 As directed by Director of Sales/General Manager attends hotel events and/or functions consisting of 75+ people.

 Assist and participates in the Sales Blitz Standard Operating Procedure (SOP).

 Assist Director of Sales to maintain hotel website, and Social Media sites.  Works consistently with sales staff to generate new business.

 May book entertainment or speakers upon request.

 Assists functions and set up.

 Confirms contracts in detail  Responsible for keeping files on hand with group contracts, rooming lists, invoices, banquet orders, etc.

 Input new rooming lists into Opera.  Assigns group rooms in Opera.

 Update Sales system with room pickup and ADR based on rooming list.

 Update Sales system banquet numbers for meals based on rooming list.

 Input end of month numbers for both group and LNR accounts.

 Prep group packets: assign rooms in Opera, make key packets, and breakfast coupons

 Update Facebook, hotel website, and other social media outlets regularly.

 Assist DOS with designing and ordering collateral and marketing materials.

 Assist Front Desk with incoming calls.

 Assist Front Desk Manager with additional administrative duties.

 Performs other duties as assigned by Management.

Job Types: Full-time, Part-time

Pay: $10.00 - $13.00 per hour

Education:

  • High school or equivalent (Preferred)

Experience:

  • Hotel experience: 1 year (Required)
