Job Description

WHAT WE ARE LOOKING FOR

The Promotional Product Finance Coordinator is responsible for supporting the Finance and Promotional teams with a focus on the financial management of small- to large-scale promotional product budgets. Core responsibilities include reconciling customer and vendor invoices against purchase orders and submitting in the accounting system for payment and processing, compiling and tracking order costs and revenue, completing expense reports, as well as other financial functions as they relate to the Promo team. This position reports into the Opus Controller with variety of opportunities for growth.


YOU SHOULD HAVE

  • Proficiency with Microsoft Excel and Office Suite
  • Ability to handle and prioritize multiple projects and meet deadlines
  • Strong understanding of accounting principles and/or previous accounting experience
  • Demonstrated ability to communicate effectively and persuasively in writing
  • Commitment to excellence and high standards
  • Excellent written and oral communication skills
  • Excellent grammatical and spelling skills
  • Acute attention to detail
  • Ability to work independently and as a member of various teams and committees.

ESSENTIAL RESPONSIBILITIES

  • Reconcile final invoices with corporate accounting team.
  • Prepare month-end reconciliation of revenue and cost of sales recorded in the promotional accounting system and the financial accounting system (Intacct).
  • Prepare month-end revenue journal entries, cost of goods sold accruals and other month-end close activities as they relate to the promotional products department.
  • Work with vendors to obtain invoices, check for accuracy and submit for payment.
  • Confirm data on booked orders report matches to quantities invoiced. Investigate discrepancies when required.
  • Communicate any and all issues/changes that impact revenue immediately to the client owner/event manager.
  • Develop and maintain positive relationships with vendors.
  • Keep track of what special agreements and pricing we have with our preferred vendors.
  • Manage credit card expenses, cross reference to orders and properly code in Concur.

COMPETENCIES

  • 1-2 years of finance, accounting or budget coordination experience is preferred; or equivalent combination of education and experience.
  • Proven ability to manage priorities and workflow
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm

PREFERRED BUT NOT REQUIRED

  • Adobe CS Experience
  • Experience working in the Promotional Products Industry
  • Experience with Intacct or similar accounting system
