Job Description

The Client Budget Coordinator assists in the financial management and tracking of Woo’s marketing and advertising projects and clients. This role supports our Account Management Team and will interface with Finance and other agency departments to track and report on project budgets and billings. The ideal candidate is someone who is team-oriented, motivated, curious, detailed and results-oriented who can perform within a fast-paced environment. Previous experience (1-2 years) working within an advertising agency and understanding the processes between Account Management and Finance is a must.

RESPONSIBILITIES & FUNCTIONS:

  • Take ownership of and maintain client finance processes and procedures across clients
  • Support Account Management with general finance needs in managing budgets, estimates/SOWs and billing processes across clients and projects
  • Manage and update billing/budget trackers as needed per client and internal client process documents
  • Lead weekly status calls with Account Management and Finance to ensure all client estimates, billing procedures and client/internal challenges are being addressed in a timely manner
  • Report regularly on time tracking against project budgets
  • Tracking of hard costs and/or recurring costs billed to project or clients
  • Assist with opening and closing of jobs, request POs for project vendors

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

It will be critical that the ideal candidate possesses strong organization and documentation skills, can think on their feet and proactively problem-solve. Candidates must demonstrate:

  • Refined problem-solving skills and organizations
  • An ability to be self-managing and operate/work with minimal supervision
  • An ability to manage large volume of activity on an ongoing basis
  • Confidence in asking questions and seeking support when needed
  • Familiarity with financial systems a plus
  • Bachelor’s degree preferred

You must be able to follow verbal and written directions and effectively communicate with co-workers, clients and vendors in a professional, friendly and courteous manner. The ability to switch back and forth between tasks as needed is critical. Must be proficient in Microsoft Excel and the Google Workspace (formerly G Suite). Must interface regularly with project management, time tracking and estimate software platforms. The ability to independently apply and carry out policies and procedures within assigned area of responsibility is also a must.

JOB LOCATION

Duties are performed at Woo Agency in Culver City, CA. Position is not available as a strictly remote position. Applicants must be based in Los Angeles area.
