Courtyard Prince George is recruiting for a Sales and Catering Coordinator to join our team! This role is responsible for providing intermediate administrative support to the hotel Catering department while supporting Sales in achieving goals, operational targets and overall guest satisfaction. ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Respond to product and service inquiries related to the hotel’s catering, banquet and meeting space offerings
- Provide support to Catering Sales Manager in preparing documents for functions
- Creating event files and maintaining effective paper-flow and communications within all hotel departments
- Traces and follows up on contract signatures, cut-off dates, deposits, rooming list guarantees, direct bills, pick-up reports, and master accounts
- Ensure group blocks and rooming lists are entered and maintained in Property Management System
- Ensure timely processing of all activities for catering functions including Banquet Event Orders, invoicing, updating client files and sending out evaluation forms
- Produce accurate billing for clients including credit card paying guests and direct billing for all functions
- Participate in site inspections, client appointments and client events as required
- Demonstrate a positive customer service experience in a fast-paced environment
- Ability to create effective working relationships inter/intra departmentally
- Other tasks as assigned
QUALIFICATIONS AND SKILL REQUIREMENTS:
- Secondary school diploma
- 2 years of related experience or administrative experience, experience in hospitality is preferred
- Intermediate level in the use of MS Office Suite
- Highly detail oriented, exceptional organization skills and ability to handle multiple priorities while meeting deadlines
- Goal and results oriented to execute plans, manage change and communicate with other departments
- Adaptability to handle changing expectations and client requests
- Advanced communication and interpersonal skills including handling client issues
- Delphi, Salesforce or BEO experience considered a strong asset
- Highly organized with ability to meet short deadlines and manage the internal and external pressure of executing events
Job Types: Full-time, Permanent
Pay: From $20.00 per hour
Expected hours: 40 per week
