Job Description

Job Summary:

Operations Administrator - Initiates, coordinates and executes administrative support to the sales, operations and accounting teams. Follows policies and procedures; Completes administrative tasks correctly and on time; Supports organization’s goals and values; Supports affirmative action and respects diversity.

Job Description:

  • Create, issue, and administer vendor and subcontractor purchase orders with complete tracking from issuance to closing
  • Track shipments, availability, and receiving of all installation, service, and truck stock inventory logs and counts
  • Work in conjunction with company administrative, field and accounting teams
  • Investigate and account for A/P invoices to ensure proper charging to jobs/overhead/accuracy
  • Book and construct jobs/service orders in accounting system and manage lifecycle of edits, revisions, and closings
  • Assist in standards and process development to ensure best practices are formed and followed
  • Ability to handle multiple tasks and ensure prompt response and follow up
  • Act as liaison between accounting, management, operations, and sales
  • Perform archive management of electronic records on jobs, projects, customer agreements, and branch information files
  • Other tasks as identified by supervisor
  • Be in front of tasks and speak out for roadblocks, issues, and hazards. Work with team for solutions and solving problems.
  • Be prompt and ready for the day’s activities at all times


  • Associate’s degree (A.A.) or equivalent, three to five year related experience, or equivalent combination of education and experience
  • Excellent verbal and written communication skills
  • Commitment to excellence and high standards
  • Strong organizational, problem-solving and analytical skills; able to manage priorities and workflow
  • Strong interpersonal skills
  • Ability to understand and follow written and verbal instructions
  • Ability to deal effectively with a diversity of individuals at all organizational levels

Job Type: Full-time

Pay: $35,000.00 - $40,000.00 per year
