SUMMARY:
To provide administrative support to the Director of Sales & Marketing and Senior Sales Manager.
DUTIES AND RESPONSIBILITIES:
- Work independently and with a team on special, nonrecurring, and ongoing projects; which may include planning and coordinating multiple presentations, disseminating information, and organizing companywide events.
- Input all group related rooms block and events into PMS system and generate proposal and contract documents.
- Type and design general correspondences, memos, charts, tables, graphs, business plans, etc.
- Handle confidential and non-routine information.
- Coordinate all media & writer related visits to include confirmation of guestroom, dining and spa reservations.
- Prepare all media & writer related itineraries and communicate directly with resort’s offsite PR representative as well as all resort departments.
- Process and follow-up on all VIP guestroom reservations to include site inspections, FAM trips and high-end travel agents.
- Provide assistance to resort’s offsite Leisure Sales representative by checking guestroom availability, confirming VIP reservations, and organizing & mailing marketing materials to various tradeshows and sales calls throughout the year.
- Organize and process all department purchase orders.
- Organizes and maintains file system and correspondences.
- Greets scheduled visitors and makes the introduction to meet with the appropriate person.
- Coordinates and arranges meetings, prepares agendas and records and transcribes minutes of meetings.
- Assemble all sales and marketing packets and letters to be mailed to potential clients.
- Ensure that all collateral is kept up to date and distributed all necessary individuals.
- Process and follow-up on all amenity and special request orders.
- Assemble all welcome packets and distribute to the Front Desk/Concierge.
- Take inquiry calls, gather qualifying information and mail out appropriate information.
- To ensure that all leads are traced and filed for follow-up.
- To check space availability as necessary.
- Responsible for keeping ongoing and current inventories for all resort marketing materials, to include reorders as directed, i.e. resort, wedding, spa and activities brochures, sales packets, envelopes, letterhead, cards, etc.
- Support safe work habits and a safe working environment at all times.
- Crosstrain with the Catering Department to assist when needed.
- Other duties and jobs may be assigned as needed by supervisor.
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required:
- 1-2 years related experience in luxury resorts/hotel group sales and catering
- Must be able to work independently.
- Knowledge of hotel operations, including security and safety programs.
- Ability to work effectively under time constraints and deadlines.
- Must provide valid document(s) to work in the US.
- Must meet legal age requirements for the position.
High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS:
- Must speak and communicate in English.
- Must be able to clearly communicate with guests, management and coworkers.
- Valid California Driver License is required.
The work environment at Bernardus Lodge ranges from winter time lows of 20 degrees to summer time highs to 100+ degrees. While performing these duties the employee may be exposed to outdoor and inclement weather conditions.

- Must be able to lift 25 lbs.
- Must be able to sit, stand and walk for long periods of time.
Employee must wear uniform at all times during scheduled hours. Uniforms are the property of Bernardus Lodge & Spa. Uniforms that have been tampered or destroyed will be the responsibility of the employee and disciplinary action will apply.
- Hair must be clean and kept at a reasonable length.
- All Food Servers, Culinary and Spa personnel must wear their hair tied back.
- No extreme dying or bleaching of hair is permitted.
- Fingernails must be clean and well-trimmed at all times.
- Antiperspirant or deodorant must be worn.
- Any self-inflicted marking (tattoo) on the body cannot be observed by the public.
- Cologne or perfume may be worn at a minimum.
- Nametags must always be worn, unless your department has a specific policy to the contrary.
