Position Overview:
The Contracts Specialist is responsible for the administration of Fuels Operating Contracts (branded and unbranded fuels). This role has administration activities such as processing contracts, monitoring contractual volume requirements, processing incentive payments, managing the shortfall and recapture processes, handling claims associated with product quality and preforming document management activities. The Contract Specialist supports Fuel Sales Channel and their business partner requirements while demonstrating leadership by continuously developing tools to enable the department to achieve and/or exceed its performance targets.
Responsibilities:
  • Manage Contracts role in the Product Quality Assurance program. Duties include sending notifications to customers at direction of Demand team, collecting fines for PQA, providing reporting and status to Demand team, working with IT to implement automation of PQA process
  • Data Cleanup – leads work with Contracts team to identify Contracts in a non-standard status, investigate the root cause and resolve or document the non-standard status, provide tracking metrics on progress
  • Consistently demonstrate Customer 1st behaviors by considering the customer in all that we do, putting forth extra effort to understand our customers and their business needs, while creating an exceptional Customer Experience.
  • Create M&S contracts (branded, unbranded) using contracts application, Salesforce and facilitating the E2E completion of the contract working at with Territory Managers and other Teams who play a role in the contract process.
  • Champion contract process with various internal and external stakeholders by proactively seeking opportunities to improve execution
  • Maintain adherence to MoA controls by ensuring the work is accurate and up-to-date; adhering to the documented processes and ensuring that all controls and procedures are followed
  • Demonstrate leadership attributes and support of continuous improvement within the E2E processes through knowledge sharing with cross functional teams.
  • Understand team dynamics and customer complexity to provide high level error handling support.
  • Act as SME for complex contracts requiring more focused and dedicated support
  • Build and cultivate networks across other strategic partners to deliver solutions within and outside the Contracts realm
Experience and Qualifications Required
Basic Qualifications:
  • Bachelor's degree required.
  • 3+ years of experience in Sales & Operations - Retail or Wholesale.
  • Experience with reading, interpreting and administration of Retail-Channel-Partner-related contracts.
  • Effective with problem solving (root cause analysis skills).
  • Ability to identify and implement process improvement opportunities
  • Strong communications skills both written and orally
  • Strong desire to deliver excellent customer service
  • Strong organization skills, motivated self-starter
  • Ability to adapt to an ever-changing environment
  • Knowledge related to managing Retail platforms, agreements, and site performance
  • Customer-focus and service orientation.
Preferred Qualifications:
  • Degree in business, finance or technical degree
  • Proficiency in Microsoft office and Outlook
  • Experience with Finance & Controls or similar activity involving exposure to SAP activities
  • Operational understanding of the Retail Business and its competitors
