Administrative Assistant
Job Description:

We are currently seeking an experienced Part Time Remote Administrative Assistant to join our team based in Florida. This remote position is Monday Through Friday and requires expertise in customer service, excellent communication both written and verbal, and analytical skills.

Responsibilities:
  • Assist all crews (13+ crews), with any access issues, field delays etc.
  • Sort Field Notes Email and check in any jobs that came in the night before and throughout the day.
  • Process Elevation Certificates for flood insurance. (this is split between Tracy & me as there can be a lot to process as we get into our busy season)
  • Assist with setting up Vehicle appointments, calling dealerships, repair shops, etc.
  • Calling crews to obtain job status to produce end-of-day reports of jobs completed or incomplete.
  • Follow up with crews (13+ crews), to ensure jobs are flowing in on time to avoid late deliveries & inform C.S. if there will be delays, so they can inform the client. (This kind of ties in with the one listed above)
  • Maintain and Update Our Overall field crew Excel spreadsheet Log, which includes but is not limited to Vehicle Repairs, Vehicle Accidents, Oil Changes, etc.
  • Maintain and Update Our Crews Driver Log (Current Drivers List updated and submit to Curt and Tracy at Ins. Company For their records)
  • Review & upload to Dropbox Weekly Drivers Logs, and Vehicle Photos from Crews & email Louis and me any issues noted on said Log.
  • Maintain and update reveal (Vehicle GPS Tracker) with all crew changes, locations, any oil changes/tire rotations & Brakes as needed.
  • Other tasks as needed.

Qualifications:
  • High School Diploma
  • Minimum of 2 years of experience as an Admin Assistant in a fast-paced work environment.
  • Intermediate experience in MS Word, Excel, Outlook, and Dropbox.
  • Strong attention to detail and accuracy in data entry.
  • Excellent communication and interpersonal skills
  • Ability to work independently and prioritize tasks effectively.
  • Bi-lingual in English and Spanish preferred but not required.

Compensation: $18.00 - $20.00 Hourly
