Job Summary:
The Sales Operations Coordinator serves as a vital link between homeowners and sales representatives in the solar industry, ensuring clear communication, efficient project execution, and exceptional customer satisfaction. Working for a company that operates as an Engineering, Procurement, and Construction (EPC) contractor, the Sales Operations Coordinator will manage the flow of information, address customer inquiries, and support the sales team in delivering a seamless experience from the initial consultation to project completion.
Key Responsibilities:
Customer Communication & Support:
Act as the primary point of contact for homeowners throughout the solar installation process, providing timely updates and addressing concerns.
Facilitate clear and consistent communication between homeowners and sales representatives, ensuring all parties are informed of project status and next steps.
Assist homeowners with understanding their solar options, contracts, and the installation process, providing explanations and answering questions as needed.
Sales Support:
Collaborate with sales representatives to ensure that all customer information, project details, and agreements are accurately documented and communicated.
Support the sales team by preparing and reviewing proposals, contracts, and other sales documents, ensuring they are complete and accurate.
Coordinate with the sales team to schedule site visits, consultations, and other customer appointments.
Project Coordination:
Work closely with the EPC project management team to ensure that customer expectations are met throughout the project lifecycle.
Monitor project timelines and coordinate with homeowners and sales representatives to address any delays or changes in the schedule.
Ensure that all necessary permits, inspections, and approvals are obtained and communicated to homeowners in a timely manner.
Issue Resolution:
Address and resolve any issues or concerns raised by homeowners, working with internal teams and sales representatives to find solutions.
Escalate complex issues to the appropriate departments or management as needed, ensuring a swift and satisfactory resolution.
Follow up with homeowners after project completion to ensure their satisfaction and address any remaining concerns.
Documentation & Compliance:
Maintain accurate records of all customer interactions, project details, and communications within the company's CRM system.
Ensure that all customer-facing documents, such as contracts and agreements, are compliant with industry regulations and company policies.
Assist in the preparation and submission of required documentation for project permits, rebates, and incentives.
Process Improvement:
Identify opportunities to improve communication processes and customer experience, collaborating with sales and operations teams to implement changes.
Provide feedback to sales and project management teams on recurring customer concerns or issues, helping to refine sales strategies and project execution.
Contribute to the development and maintenance of customer service and communication best practices.
Qualifications:
Bachelor’s degree in Business Administration, Communications, or a related field, or equivalent experience.
2+ years of experience in customer service, sales support, or project coordination, preferably in the solar industry or a related field.
Strong communication and interpersonal skills, with the ability to effectively manage relationships with homeowners and sales representatives.
Excellent organizational and time management skills, with the ability to handle multiple projects and tasks simultaneously.
Proficiency in CRM systems (e.g., Salesforce, HubSpot) and project management tools.
Detail-oriented with a focus on accuracy and quality in documentation and communication.
Knowledge of the solar industry, including installation processes, regulations, and incentives, is a plus.
