Responsibilities:
- Billing and invoicing for the Service Work team
- Decipher hand-written timesheets to prepare and finalize invoices, and enter into the system
- File Accounts Receivable documents in an accurate and systematic fashion
- Assist with precise set up of new customers in ERP system
- Assist with setting up new work orders in ERP system
- Efficiently navigate through system and web searches to confirm information in real-time (i.e., with customers/colleagues often waiting on phone/trunk radio)
- Assist with typing quotations and other sensitive documents as required; maintain privacy and confidentiality
- Able to prepare and review Customer Statements monthly for distribution
- Answering emails and phone calls in a positive, professional manner in a time-sensitive and extremely fast-paced office environment
Requirements:
- Proven work experience in an office environment / billing is required, experience in accounts receivable is an asset
- Can work in a high paced environment with distractions of a construction office setting
- High degree of accuracy and attention to detail is a must
- Strong organizational skills
- Strong written and verbal communication, administrative and organizational skills
- Proficiency in Microsoft Office Suite
- Ability to grasp new software quickly and efficiently, Jonas Enterprise software experience is an asset
- Multitasking and time management skills with the ability to prioritize tasks
- Level-headed and calm under pressure
- Professional demeanor and positive attitude
- Able to work overtime when required (sometimes work past 5:00pm but this is rare)
