POSITION SUMMARY:

As a vital member of our operations Department, you will be responsible for managing, receiving, and processing a diverse array of customer orders encompassing new and renewal software orders as well as hardware and accessories. This role requires a detail-oriented individual with strong organizational skills and the ability to communicate effectively with both internal teams and external clients. This role serves a critical link in ensuring the timely and accurate fulfillment of our customer’s needs, reinforcing our commitment to unparallelled customer satisfaction.

KEY RESPONSIBILITIES:

Sales Order Processing:

  • Receive, review, and process sales orders accurately and efficiently in accordance with company policies and procedures.
  • Verify order details, pricing, discounts, and terms to ensure accuracy and compliance with customer requirements.
  • Liaise with internal departments such as Sales, Operations, and Product Fulfillment to expedite order fulfillment and address any issues or discrepancies.
  • Ensure accurate entry of sales orders and customer records data into the ERP system.
  • Retrieve information as necessary from the ERP system regarding orders.

Software Renewals Management:

  • Coordinate the renewal process for assigned customers collaborating with the customer’s sales and operations team as necessary regarding renewal terms, pricing, and deadlines.
  • Track and monitor renewal status, follow up on outstanding renewals, and escalate issues as needed to ensure on-time renewals.
  • Conduct outbound calls as necessary to ensure timely processing of renewal orders.
  • Update internal records and provide reporting on assigned projects as required.

Customer Communication and Support:

  • Serve as a primary point of contact for assigned customers regarding order status, pricing inquiries, and other related matters.
  • Provide exceptional customer service by responding promptly to inquiries, resolving issues, and ensuring a positive customer experience.
  • Communicate proactively with customers to provide updates on order status, delays, or any other relevant information.

WORK ENVIRONMENT:

  • This job operates in a professional office environment. The role routinely uses standard office equipment.

EDUCATION/EXPERIENCE REQUIRED:

  • Minimum of an associate degree or a combination of education and experience.
  • Customer service or data entry experience required.

ADDITIONAL ELIGIBILITY REQUIREMENTS:

  • Strong attention to detail and accuracy in data entry and record-keeping.
  • Excellent communication skills, both verbal and written, with the ability to interact professionally with clients and colleagues.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience using Oracle/Netsuite, or another ERP system
  • Ability to prioritize workload and meet deadlines in a fast-paced environment.
  • Strong problem-solving skills and the ability to work independently as well as part of a team.

PHYSICAL REQUIREMENTS:

  • This is largely a sedentary role in a standard office setting. However some filing may be required. This would require the ability to lift files, open filing cabinets and bend and stoop as necessary.
  • Basic motor skills and manual dexterity for extensive computer usage are required.
  • Sitting for extended periods of time is required.
  • Talking, hearing and close vision abilities are required.
  • Stress may occur with changing priorities, tight deadlines, and extended hours, when needed.
  • Ability to occasionally lift 25 pounds.

TRAVEL REQUIREMENTS:

  • Less than 5%

Pay: $18.00 - $20.00 per hour

Expected hours: 40 per week
