Full oversight of Administrative, Funding and Titling duties and responsibilities at the dealership. May including management of employees in roles performing those duties.

Leadership
Train and manage staff in company / dealership practices and ensure adherence to all company policies
Support the career and professional development of staff
Motivate, counsel and monitor the performance of all department staff conducting disciplinary action or PIP’s as needed and administer annual performance evaluations for staff with thoughtful feedback
Appraise staff productivity and efficiency for the purpose of recommending promotions or other changes in status
Ensure staff completes all required job duties in an accurate and timely manner
Coordinate with the Recruiting Department to interview and hire department staff
Ensure that any employee relations issues or concerns are addressed and escalated to HR when necessary
Monitor and assist in the implementation of company initiatives and legal compliance measures and ensure the communication of company news on a regular basis

Primary Duties
Work with all dealership staff and report performance, compliance or any issues or concerns to appropriate management staff and/or GM
Distribute customer or vendor complaints or issues to appropriate management staff and/or GM
Audit rebate schedule and submit challenges to OEM
Work with sales staff on contract, funding, titling issues
Maintain Security of any/all nonpublic documents and client information
Funding Duties
Locate trade titling/ensure proper signatures & lien release information
Support CS/AE, with printing and review of documents
Collection of lender stipulations
Ensure Rebate, Contracts, Due bill, VSC and related schedules in CDK are maintained
Manage contracts in transit to ensure proper cash flow
Review each car deal for missing or incomplete paperwork in preparation for biller
P&L (environmental package) - accessories scheduling
CIT spreadsheets / and or reporting to all managers
Submit all contracts to the bank for payment
Ensure all deals are complaint with Walser standards and submit to store biller in a timely manner
Schedule 30 - intake calls from banks, relay messages of missing items, short pay offs, etc
Titling Duties
All new/used vehicle titling
Obtain out of state titling/tax info
Finalize submit correct information in DLRdmv and MNDRIVE
Ensure appropriate inspections, registrations, and titling compliance for every vehicle
Maintain accurate suspense logs for tracking titling and registration transactions
Clear conditionals
Apply for and correct any/all titling errors / update all titling applications
Manage 302/317 schedules, issue refunds to customers or apply for state refunds as appropriate
Weekly audits for mso and titling books
Hold for resale
Process all trade-in and purchase DMV documentations
Assist sales staff with pulling new vehicle invoices from OEM
Assist sales staff with contacting banks for payoff details
Work with auctions and other stores to get / give titling paperwork
Input ACH spreadsheet/send requests
Additional Miscellaneous Duties
Ensure key track is running / add employees to keytrack
Manage multiple tasks in Drive Centric
Manage/support team with POS marketing
OEM Audits
OEM Customer Loyalty Manager/Customer Care Coordinator
Making deal jackets, stickers, key tags
Mail plates and tabs
Must wear safety eyewear at all times when in dealership service departments
Must wear hard-toed shoes and slip resistant footwear in when in dealership service departments
All other duties, tasks and/or projects as assigned
