Job Description
The Proposal Coordinator will be responsible to conduct and track online bid searches to identify opportunities for Request for Proposal (RFP), Request for Tender (RFT) etc., that fit with our municipal and/or commercial/industrial solid waste services. Downloading documents and analyzing procurement documents, and preparing executive summaries for management review. Assist with the development of proposal content, coordinate with District Managers/Sales/Operations to solicit content, compile complete proposals, and manage the proposal submission process. Supporting surety requests for submissions as well as after award documentation assistance. Tracking of active submissions, and pending submissions.
Key Responsibilities:
Meet deadlines for questions, responses, and submissions as well as contract execution deadlines
Maintain a standard reporting system of what RFP’s are due with pertinent information
Assist with clarification questions between clients and GFL
Follow-up with management or key contacts for proposal responses
Work with Corporate, Group and Division management, sales managers, sales representatives and, operations to gather information for proposal responses
Request Certificates of Insurance (COI) and Workers Safety Insurance Board (WSIB)
Assist with upkeep of internal documentation including, but not limited to policies, procedures, COI, and WSIB
Maintain document templates
Knowledge, Skills, Abilities and Competencies:
Post-secondary education in business or related field is preferred
3 years minimum experience in the waste industry
Able to prioritize work
Strong written and verbal communication skills
Independent worker/self-starter as well as working as a team
Capable of working under stressful circumstances, where demands and deadlines shift frequently
Well-developed organization and time management skills
Proficiency in MS Word, Excel, and PDF formats
Valid driver’s license
