Job Summary:
We are seeking a diligent and reliable Subcontracting Assistant to support our Subcontracting Department. The ideal candidate will be responsible for handling day-to-day administrative tasks, maintaining contractor and customer communication, and ensuring smooth project coordination.
Responsibilities:
- Communicate with contractors regarding follow-ups on estimates, start dates, and project timelines.
- Communicate with customers regarding job completion, scheduling, and follow-ups.
- Monitor and manage subcontracting department emails.
- Oversee and respond to Textey conversations.
- Answer and direct incoming phone calls professionally.
- Assist in preparing project-related documents such as contracts, invoices, and purchase orders.
- Maintain accurate records of subcontractor information, contracts, and project progress.
- Track project timelines and coordinate with subcontractors to ensure deadlines are met.
- Identify and address project concerns with subcontractors to improve efficiency and quality.
- Provide feedback and assist in reviewing subcontractor performance.
- Work collaboratively with the project team to ensure all subcontractor requirements are met.
Requirements:
- High school diploma or equivalent.
- Previous experience in administrative support or subcontractor management preferred.
- Strong communication and interpersonal skills.
- Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- High attention to detail and accuracy in data entry and record-keeping.
- Flexibility to adapt to changing priorities and work schedules.

- Pay: $19.00/hr
- Shift: Monday - Friday, 7:30 AM - 4:00 PM
