Job Purpose/Overview

This job is critical to supporting the day to day order processing of our customers that supports signed customer agreements and SLA’s. This role is critical to the seamless operation of our front end office to service the customers in the manner that is expected in the industry. It is critical in price list management to support the revenue strategies of the organization.

Essential Duties and Responsibilities :Order Processing :
Assist with processing consumable/equipment orders daily.
Take and process phone orders – Back up.
Help fulfill orders in Shopify webstore.
Assist with maintaining IHD programs.
Help manage mins/maxs within ERP to ensure appropriate inventory.
Manage standing orders for Customer Programs – back up for invoicing.
Adding new customers to the webstore
Send invoices to customers for cytology once billed each month.
Invoice signing fees for each new customer program.
Enter new item codes into ERP.
Close lab opportunities in Salesforce.com
Manage sanctions list in ERP.

Customer Service:
Update pricing in ERP as required.
Maintain price lists for IHD programs/annual increases + webstore pricing management.
Responsible for entering all end of year pricing increases within ERP and Webstore
Accounting project for maintaining IHD programs. Entering all customers into the ERP system and then adding as new agreements are created.
General customer service
Backup for main reception phone
Enter shipping tracking numbers in the web store and assist if customers call to inquire status of their order.
Credits for customers related to Work Order credits from service – add backup to file sharing location.
Live Web Chat – Secondary user (back up)
Amount sold reports for Reps from ERP

General Administrative:
General office admin as required.
Participate in inventory counts.
Help to cover as backup for Customer Success Manager vacation time or sick days.
Assist with Proof of Installation/Proof of Delivery forms at end of the month for accounting reconciliation.

Education and Experience
Diploma in Business Administration or equivalent.
1-2 years in an office environment and/or customer service role.

Excellent communication skills
General computer knowledge
General diploma or equivalent
Excellent attention to detail
Intermediate Excel knowledge
Previous E-Commerce experience an asset.

Working Conditions
The associate is regularly required to apply manual dexterity, including hand/wrist flexibility, for computer keyboarding. The associate frequently is required to sit for extended periods of time, stand, walk, and reach with hands and arms. The associate is frequently required to hear and speak in order to use the telephone, make presentations and communicate with people in an office environment. The associate is occasionally required to sit and stoop, bend, kneel, or crouch. The associate must occasionally lift and/or move up to 15 pounds.

The associate will primarily work in a typical office environment including the use of cubicles, computers and overhead lighting. Temperature extremes will be minimal to nonexistent. The noise level in the work environment is usually moderate. The associate will be required to use a computer, spreadsheets, data base management, email, and the Internet. The associate is frequently required to use a calculator; copy machine, and phone system. The associate must occasionally use media equipment such as an overhead projector, PowerPoint, and Microsoft Teams.
