Bids and Proposal Specialist

The Center for EcoTechnology is looking for a Bids and Proposal Specialist to prepare and coordinate a continuous flow of proposals in response to RFIs and RFPs related to CET’s areas of work in energy and waste. The Bids and Proposal Specialist is responsible for researching and identifying available opportunities, primarily among state and federal agencies, utilities, and foundations, and registering the organization on applicable platforms. The position will involve coordinating proposals, which includes tracking opportunity announcements, proposal process planning, compilation of submission materials, and submitting proposals.

Job Responsibilities Include:

Coordinating Proposal Lifecycle

• Develops competitive and compelling bids and proposals under deadline pressure.
• Assesses bids and proposal requirements to determine strategic alignment with CET’s mission, skills, and operations.
• Maintains Salesforce database to track and manage the status of all pipeline opportunities.
• Creates bids and proposal templates and submission checklists based on requirements of the RFI/RFP.
• Ensures written materials conform to CET standards for content, style, and quality and ensures all proposal attachments are complete.

• Coordinates efforts to ensure that all dates and deadlines are met resolving and/or escalating issues as needed.

Writing Proposals

• Coordinates quality, on-time delivery of complete bids and proposal packages.
• Understands company service offerings, experience, and capabilities and thinks critically about communicating CET’s unique credentials in proposals.
• Crafts bids and proposals to fit the needs of the opportunity and strategic direction of the organization. Adjust writing style to conform with the expectations of the respective audiences.
• Communicates effectively with team members to incorporate feedback through multiple rounds of revision.
• Produces compliant, organized, and compelling material for proposals on deadline.

Monitoring and Researching Funding Source

• Responsible for keeping up to date on assigned platforms known to have RFP, RFR, grant application opportunities, etc. and developing and maintaining systems to monitor these.
• Works closely with team members to match funding opportunities with organizational needs and priorities.
• Seeks out and identifies potential data and research to support work.
• Conducts research on new funders including government, industry, and philanthropic funders.

Program Integration

• Post-award, follows established Project Setup and Close Out Process Workflow, and supports the handoff to the team.

What You Offer

Commitment to non-profit, environmental mission of CET. A bachelor’s degree with a minimum of 3 years of successful proposal and report coordination. Strong writing and editing experience required, with ability to write persuasive and compelling narrative that effectively and accurately interprets and communicates CET’s mission and operations to fit submission requirements.

Project budgeting is a plus. Aptitude to use budgeting tools and apply budget logic from one project to another preferred. Must be able to achieve a high standard of quality and accuracy in verbal and written communications while working in a deadline driven environment, where over 90% of revenue is tied to winning proposals. Must be eager to learn. Experience and comfort in remote work environment expected.

You must have high speed internet access and a working location free from distractions and interference during 8:30-5:00 business hours. CET will provide a laptop and other office technology. This position may be performed remotely or may work out of our office in Northampton, Massachusetts.
