Role & Responsibilities
Operations Coordination
- Perform necessary office tasks as needed to support the Owner and team.
- Answer inbound calls, providing exceptional customer service.
- Manage daily schedules: plan and confirm inspections, jobs, meetings, and events.
- Oversee inventory and supplies, including tracking equipment in the field and warehouse.
- Enter data into CRM and other platforms (new client details, job photos, etc.).
- Coordinate with field teams and vendors to ensure smooth execution of inspections and jobs.
- Process invoices, approve payments, and verify expense reimbursements.
- Assist with social media and marketing outreach using Canva and other tools.
- Prepare and send samples to the lab, ensuring proper handling and documentation.
Sales Administration
- Convert leads into inspections.
- Write proposals and follow up with clients to review estimates and close sales.
- Collect payments and ensure accurate, timely billing.
- Follow up post-service to gather reviews (Google, Yelp, etc.).
Marketing & Social Media
- Manage and execute email blast campaigns: design posts and send them out at set times.
- Create and schedule posts for social media platforms to build brand awareness.
- Collaborate with the Owner on marketing campaigns and promotions.
- Track social media performance and suggest improvements.
- Ensure the company’s online presence (e.g., website, social media) reflects professionalism and is easily accessible.
What We’re Looking For
Skills & Experience
- Proven background in Office Management, Sales, and Customer Service.
- Ability to work independently in a solo-office environment and stay motivated.
- Strong sales skills, including the ability to guide leads through the sales process and close jobs.
- Experience with CRM systems, Google Suite (Docs, Sheets, Calendar), and Dropbox.
- Familiarity with Canva for marketing tasks is a plus.
- Excellent organizational, analytical, and multitasking abilities.

Compensation
- Salary: $25–$30/hour (commensurate with experience)
- Schedule: Full-time, 40 hours/week
