Who You'll Work With

As part of our growing team of rehabilitation, disability management, and administrative healthcare professionals, the Referrals Coordinator will be reporting directly to the Referrals Coordination Team Lead. This position will be joining our team at Cira Health Solutions.

What You'll Be Doing

  • Be the first great impression for our clients’ experience with Cira
  • Make the process of receiving a referral and booking an assessment easy for our clients
  • Confirm receipt of new referrals via email/phone calls/SmartSimple/eClaims/Fax/client systems
  • Data entry of new referrals, update Account Names and Contacts within 4 hours of receipt of the request
  • Liaise with clients when receiving or clarifying referrals.
  • Ensuring regular proactive communication with clients to deliver an excellent client experience
  • Research and liaise with Assessors to confirm date, time and location of assessment and secure additional assessment dates/times if required
  • Complete quoting process from Assessors, and to clients when required per Operational Excellence plan
  • Assign appropriate Assessors and/or schedule assessments either through direct contact or use of scheduler system complying to the process of selection for appropriate assessor
  • Complete confirmations of assignments and forward to clients and assessors and claimants as required.
  • Assist with daily issues/concerns from both internal and external clients. Escalate appropriately for support to ensure resolution to client satisfaction
  • Collaborate with referrals coordination colleagues, clinical team members, account management and other operations colleagues to support our client promise
  • Arrange special services (i.e. transportation, chaperone and language translation) using variety of SSP providers in compliance with client SHI’s
  • Complete reminder calls to confirm attendance as per the Operational Excellence plan
  • Support Cira Operations to meet our client promise: on time booking of assessments for all line of business including
  • Med-Legal, Employer Life and Health, WSIB, ICBC and Property & Casualty; and meet all client KPI’s and Operational
  • Excellence performance indicators
  • Meet productivity targets as outlined in the Operational Excellence performance indicators
  • To be flexible in order to respond to changes in the market
  • Ability to multi-task as needed
  • To perform administrative duties as needed.

What You Need to Be Successful

  • 1 year of medical office administration or related experience
  • High school diploma required

What You Need to Stand Out

  • College Diploma or certification in medical office administration or related field is considered an asset

Skills an Ideal Candidate Would Have

  • Strong communication skills, both written and verbal.
  • Strong organizational, analytical, and interpersonal skills.
  • Ability to work independently and respond to multiple changing demands and deadlines with demonstrated ability to work under pressure of competing demands.
