Job Summary

The Communication Sciences and Disorders Department (CMSD) at Eastern Washington University is currently seeking applicants for a Program Specialist 2Communication Sciences and Disorders, Speech & Language Clinic.
This position will provide administrative management within the department’s clinic. The position will report to the department chair and will provide support to the clinic director and operations manager.

Independently coordinates operational support functions for the CMSD clinic, including performing a variety of complex and varied administrative support functions for clients and students, such as tracking students’ immunization records, training, and supervision hours using a third party, scheduling clients, acting as the main contact for the clinic, and other duties as assigned. The position may be required to assist with like clinic administrative duties in other College of Health Sciences & Public Health departments.

The position is expected to exercise independent judgment in developing, modifying, and maintaining multiple record keeping and reporting systems for varied and complex sources of student activities; interpreting and applying rules and regulations to resolve problems; advise faculty and staff regarding applicable policies and procedures, and recommend alternative courses of action. Position uses established procedures in performing administrative tasks, and ensures work is in conformance with regulations, policies and standards.

The position requires a high degree of personal initiative, flexibility, and personal judgment in all assignments, along with strong verbal and written communication skills, ability to organize and prioritize tasks to ensure smooth workflow, excellence in work standards and a demonstrated interest in providing strong customer service.

Required Qualifications
  • Bachelor’s degree in the Healthcare field, Business, or related field. Equivalent education and/or experience can substitute for this requirement.
  • At least five years’ work experience involving office administration, preferably in a healthcare setting. Work must be beyond entry level responsibilities such as:
    • Performing specialized technical and clerical duties in support of a patient care department/facility.
    • Part time experience may qualify but must be pro-rated to its full time equivalent.
    • Additional years of relevant education may be substituted, on a year-by-year basis, for two years of the required work experience. In other words, if you have a MA degree, that would be considered equivalent to two years of experience; you would still need to offer at least three-years relevant work experience in addition to a completed bachelor’s degree in business, Healthcare or related field.
  • Strong computer skills demonstrated by five years of successful full-time work experience using a variety of software programs including Excel, Word, Outlook, Acrobat, and databases.
  • Must offer superior verbal and written communication skills and a high level of professionalism.
  • Demonstrated ability to maintain a superior level of organization.
  • Demonstrated success handling a demanding workload with overlapping deadlines and requiring great attention to detail, perseverance, initiative, and ability to function equally well taking direction and working independently, and in an environment characterized by interruptions throughout the workday.
  • Experience maintaining electronic records and files.
  • Demonstrated ability to apply a culturally responsive and flexible approach that is sensitive to the diverse needs of the students, faculty, and administrators including needs for universal access.

Preferred Qualifications
  • Experience in a college or university environment.
  • Experience in managing a healthcare clinic.
  • Familiarity with the work of Speech-Language Pathologists.
  • Knowledge of and or experience with HIPAA, OSHA, WISHA, KASA, EHR/EMR Software, Banner, Tableau.
  • Work experience demonstrating success in handling communications with a variety of different kinds of internal and external clients, such as federal, state, city, and county government agencies, professionals in the community, internal staff/managers/administrators, students, and other constituents.

  • Oversee and coordinate day-to-day operations of the clinic.
  • Answer clinic phones and use office equipment.
  • Receive and respond to phone and email clinic inquires. Answer questions of potential and existing patients/clients.
  • Maintains a collegial and collaborative attitude in communications and office activity with all stakeholders.
  • Maintains a clean, neat, and professional working environment.
  • Schedule patient/client appointments and assign to students and their supervisors.
  • Coordinate physician and other referrals for services.
  • Create and maintain patient/client charts.
  • Create new and modify existing EHR/EMR records. Review information for completeness, accuracy, and conformance to policies and practices.
  • Prepare specialized reports related to clinic activity.
  • Ensure patients/clients receive timely service.
  • Develop, modify, and maintain multiple record keeping and reporting systems for varied and complex sources of student records; develop procedures for implementation, execution, control, and review/audit of clinic operations.

  • Manage p-card expenses and reporting as budget authority for expenditures.
  • Order and maintain office and clinic supplies. Keep detailed purchase log of expenses and provide expenditure updates as requested.
  • Maintain program website.
  • Monitors inventory of and order promotional materials for marketing.
  • Promotes the program with outside organizations and resources. Create flyers, curriculum guides and various other materials in accordance with university policies.
  • Check out and track clinic equipment. Conduct annual inventories or as requested by Clinic Director or Chair.
  • May be required to assist with like clinic administrative duties in other College of Health Sciences & Public Health departments.
