Job Description

OVERVIEW
Buyers play a pivotal role in optimizing the efficiency of sales operations through seamless coordination with both internal departments and external vendors. They provide essential support for a spectrum of procurement-related responsibilities, including the creation and oversight of purchase orders, documentation and progress report preparation, schedule management, inventory monitoring, budget supervision, administrative assistance, and the fulfillment of various assigned tasks linked to procurement and supply chain functions. Buyers may also be involved in administrative duties such as promptly addressing calls and correspondence, proactively reaching out to potential new suppliers, and fostering positive and enduring business relationships with vendors.
RESPONSIBILITIES
1. Purchase Order Management:
o Review and process Sales Orders, Purchase Requisitions, and Purchase Orders to facilitate a seamless procurement process.
o Convert Purchase Requisitions into Purchase Orders accurately and promptly.
2. Purchase Order Tracking and Communication:
o Monitor the status of purchase orders, promptly updating the Sales Team about any changes or delays.
o Generate additional purchase orders as needed to accommodate unexpected demand or replenishment requirements.
3. Collaboration with Customer Service:
o Work closely with Customer Service Representatives to resolve issues related to material availability, delivery schedules, and customer inquiries.
4. RFQ Processes:
o Manage Request for Quotation (RFQ) processes efficiently, ensuring competitive pricing and favorable terms.
5. SAP Data Management:
o Maintain the accuracy and completeness of data within the SAP system, ensuring that procurement records are up to date.
6. Transfer Receipts and Logistics Coordination:
o Collaborate closely with warehouse and logistics teams to guarantee On Time Delivery (OTD) of materials to meet operational demands.
7. Inventory Management:
o Oversee inventory levels for critical materials and equipment to prevent shortages or overstock situations.
o Implement inventory control measures to reduce carrying costs while ensuring readiness for peak demand periods.
8. Reporting and Performance Metrics:
o Compile comprehensive reports on material and equipment performance, including statistics and key performance indicators.
9. Vendor Selection and Relationship Management:
o Play a pivotal role in vendor selection, evaluating potential suppliers for materials and equipment crucial to material handling operations.
o Build and nurture positive, long-term relationships with vendors to ensure a reliable supply chain.
10. Ad-Hoc Tasks and Flexibility:
o Be adaptable and responsive to other functions and tasks assigned by management to address evolving business needs.
REQUIREMENTS:
  • Educational Background: A degree in business, economics, marketing, or a related field is preferred, given the complexity of material handling procurement.
  • Interpersonal Skills: Exceptional interpersonal, communication, and negotiation skills are essential for building strong vendor relationships.
  • Analytical Skills: Strong analytical abilities are critical for assessing market trends, pricing strategies, and product performance.
  • Organization and Multitasking: The ability to multitask effectively and maintain organization is vital in handling various procurement tasks.
  • ERP Experience: Familiarity with SAP or other ERP systems is advantageous for managing procurement data efficiently.
  • Proficiency in Microsoft Office: Competency in Microsoft Office tools, especially Excel and PowerPoint, is necessary for creating reports and presentations.
