Role:
This role will work closely with the Sales team to supply samples to customers and Sales Consultants to help drive sales. Return Merchandise Authorization (RMA) stock when required, pull and ship out samples on a frequent basis. The role will maintain the sample room inventory management and the overall efficiency and cleanliness of the sample room and warehouse Will support trade shows and special projects.
Role Responsibilities:
- Maintain accuracy of Sample Room Inventory, ensuring the items are correctly reflected on the shelves and in Imagic software.
- Communicate regularly with Sales Director to manage stock levels and prevent shortages or overstock.
- Ensure all data in Imagic is standardized and accurate to support reliable reporting.
- Produce and submit weekly inventory reports from Imagic to provide timely insights into sample usage and stock.
- Accurately enter all approved sample requests orders into Imagic for proper tracking and order fulfillment.
- Pack and ship samples and trade show materials, ensuring products are clean, well presented, and properly labelled according to Marketing Standards.
- Email Sales consultants with tracking information to keep them updated on their sample order status’.
- Assemble various sample kits (e.g. amenities, coffee kits, towel sets, etc.)to support sales and marketing initiatives.
- Perform quarterly inventory counts to ensure the accuracy of the system.
- Organize and prepare sample products for trade shows, meetings, and special projects such as mailouts, or receiving quality issues etc.)
- Respond to inquiries from Sales Consultants or customers regarding sample shipment statuses and resolve any issues with orders.
- Maintain the cleanliness and organization of the warehouse and sample room.
- Regularly sweep the warehouse floors to keep all areas free from dirt, dust, debris, and broken pallet pieces.
- Remove trash, empty waste bins, and dispose of recyclables from various warehouse sections, ensuring areas are kept tidy and hygienic.
- Ensure aisles, pathways, and loading areas are free from obstructions or clutter to promote safety and efficiency.
- Maintain cleanliness in high-traffic areas such as receiving, shipping, and packaging zones.
- Organize and manage recycling efforts to promote sustainability
- Is willing to work safely with minimal environmental impact and understands the importance of reporting all hazards, incidents, and environmental spills immediately to their Supervisor.
- Understands that they play an integral role in their own safety and that of their colleagues and is willing to speak out when hazards are present.
- Perform other duties as assigned.
Qualifications/Skills/Job Requirements (About you):
- Minimum 1-2 years related experience required to perform standardized work routines following straightforward procedures
- Experience in sample coordination preferred
- Experience in a hospitality with hotels an asset
- Educational requirements are at a high school level plus technical/job specific training.
- Basic to Intermediate proficiency in Microsoft Office
- Communication may occur using a variety of mediums. Direct communication with individuals both inside and outside the organization is a regular aspect of the work. The communication may involve problem solving or the sensitive delivering of "bad news". Good listening skills are important.
- Problems faced on the job tend to be somewhat standardized with occasional new problem situations. The problems are solved using a number of known alternatives, and unusual problems are usually referred to someone else for resolution.
