Your collaboration
a. Validating Bid requests that come in to you through phone/fax or email and then turning those into opportunities in Salesforce & assigning to the correct sales rep.
b. Updating and or creating opportunities in Salesforce for the reps in your territory specific to new and renewal opportunities. These include but are not limited to:
c. The start of the bid documentation process for Construction to keep process of opportunities on track:
d. Proactively collaborating with the sales reps to prepare their proposals when asked and ensure they are using the correct GPO/IDN relationship and proposal template.
e. Support the Sales reps, other Sales Coordinators and Sales Support Engineers/Estimators to process the monthly booking notifications.
f. Deliver best in class service to current and future customers in your territory that ask questions pertaining to a specific project, how to place orders and quotes, how they can speak with an outside or inside rep.
g. Based on your territory needs Generate reports including:
ii. Snapshot reports for customers out of our database
iii. Sales reports on a quarterly basis
iv. Open opportunities that have not been acted on and named correctly, ensuring the primary contact is on the opportunity.
i. Collaborate with the Sales Enablement team during their onboarding process so they understand how your role will support them.
2.CRM Administration:
b.Ensuring that all proposals and supporting documentation is in an opportunity. If not, act in a manner to get it attached.
c.Collaborate with your sales reps to ensure that you are keeping the primary contacts up to date in Salesforce on the account pages and on opportunities. If it’s incorrect or missing, act proactively to get it updated.
d.Running reports for your sales reps that help them to stay on top of past due opportunities.
3.SAP/ERP Administration:
b.Pulling reports and analyzing for reps’ accounts when asked and know how to read the reports.
4.Performs other duties, as assigned by direct supervisor and the opportunities to learn about other processes that may help you in your daily tasks. This could include but not limited to learning how to estimate and get further training on reading bid document drawings.
5.Identify stations for apps in life safety drawings once plotted to facilitate process when needed.
- Submit Request for Information (RFI) to the General Contractor (GC) to see if changes affect PTS work & notify engineering design and sales teams.
- Put together ship performance Report Binders for sales team.
- Plot/Print drawings in AutoCad and submit to project managers, support engineers, installers, techs and sales team.
- Scan incoming markups from fitters or applications for drafters to update as built for sales team.
6. Collaborate with the Finance team to get the sales portions of the prequalification’s filled out in a timely manner as this is instrumental in getting projects started and/or closed.

Your competence
- High School Diploma or Associates Degree
- 0-3 years experience in sales support
- Proficient in Microsoft Office (Word, PowerPoint, Excel).
- Experience with ERP and CRM systems.
- Ability to utilize Internet search and reporting functions.
- Strong organizational and time management skills.
- Must be PC literate, working knowledge of Microsoft tools: Office, Word, Excel.
- Exceptional interpersonal communication skills, both written and verbal for the phone are required.
- Ability to listen carefully to customers and team members to understand their needs and concerns in order to resolve the issue as efficiently and effectively as possible.
- Self-motivated and goal oriented with a desire to learn.
- Ability to work independently while in a sometimes loud but fun team environment.
- Ability to work in a fast-paced environment.
- Professional demeanor.
- Outbound client contact skills.
