The overall role for the Sales Operations coordinator manages the administrative tasks that support our company's sales team. About the Role:

As a Sales Operations Coordinator at direct2you, you will play a vital role in creating an exceptional customer experience and supporting our dynamic sales team, ensuring the smooth operation of the sales cycle. You'll be the talent behind the scenes, orchestrating tasks, managing data, operating in our CRM platform, setting appointments, conducting follow ups, and keeping everyone on track to achieve ambitious goals that drive sales. You will be responsible for assisting customers with their needs, providing product knowledge, and creating a seamless relationship between the sales team and the client. You will also contribute to our team dynamic by collaborating with other colleagues to ensure smooth operations. Running data, generating paperwork, uploading orders to our vendors, emailing clients, reviewing campaigns and ensuring all projects are complete in a sales cycle are a huge part of this role. You must be meticulously organized, quick learner and have an incredible attention to detail as well as enjoy building client relationships.

Skills required and responsibilities:

  • Process orders: Ensure orders are booked correctly, and follow up with customers to confirm orders
  • Coordinate with departments: Ensure seamless communication between sales, delivery, and finance
  • Manage data: Oversee sales data and metrics, and ensure accuracy
  • Create reports: Develop and maintain sales reports, dashboards, and other performance metrics
  • Improve processes: Evaluate and enhance procedures to optimize efficiency and sustainability
  • Schedule: Oversee the scheduling of sales clients
  • Communication: Be able to communicate with clients about appointments and meetings
  • Review the product and explain the performance of the campaign

  • Ability to multi-task, prioritize, and manage time effectively.
  • Proficient in MS Word, Outlook, Outlook Calendar & Excel
  • Excellent communication and customer service skills

· Very organized – managing a flow for follow up calls and emails with current clients

· Schedule and Confirm appointments with existing clients

o Professional phone etiquette, reaching out to clients setting time for phone calls and going over the details of their program

o Strong phone presence is a must

· Use our CRM Platform – Kintone, to manage an entire order

o Run data & select demographics

o Approving artwork

o Generate paperwork

o Upload orders to our vendor for print

· Enjoy data entry daily

· Must be ok with repetition on the data side, and variety of needs on the Sales side

  • Actively listen to the Sales team to understand their clients’ needs
  • Demonstrate comprehensive knowledge of our products and services, features, and benefits.
  • Assist customers, explain how our programs work, and answer any questions they may have.
  • Upsell and/or cross-sell relevant products and services to increase customer satisfaction and sales.
  • Build strong relationships with customers, fostering loyalty and repeat business.
  • Provide outstanding customer service, resolving any issues or concerns promptly and effectively.
  • Collaborate with other team members to achieve department goals and maintain a positive work environment.
  • Perform other duties as assigned.
  • Ability to learn new information quickly and effectively.
  • Strong attention to detail and organizational skills.
  • Ability to work independently and as part of a team.
  • Positive attitude and willingness to go the extra mile.

Qualifications:

  • 3+ years’ experience in a similar role
  • Proficient in Microsoft Office Suite
  • Data Entry, Excel, CRM a must
  • Manage an entire order flow
  • Excellent communication and interpersonal skills.
  • Strong customer service orientation with a proven ability to build positive relationships.

Position Offer:

· Start date: January 13th, 2024

· $52,000 - $65,000 annually (based on experience)

· Inside Office Position M-Thurs. (Remote Friday’s)

· 40 hours a week

Training & Performance:

· You will train with both the administrative and sales team.

· Our Trainer will guide you through the fundamentals of the business so you can easily navigate all platforms.

· You will be given a 30, 60, 90-day review to determine whether this is a good fit for you and the company.

o Each month over 90 days, we will outline the month’s objectives and make sure we are on target to achieve current goals.

This position is a strictly in-office position. At the office, we provide beverages, snacks and staff lunches are provided periodically.
