The salary range for this role is:

$20.86 - $33.32

Responsibilities:

The Office/Facilities Senior Coordinator coordinates and maintains effective office procedures and efficient workflows while executing policies and procedures as established and defined by the Company and/or the Director Sales Operations.

Establishes and maintains harmonious relationships with supervisors, co-workers, customers or clients, suppliers and others as required. Performs work for staff members as directed. Provides administrative support with responsibility of coordinating various corporate office related tasks, including, but not limited to, maintaining supply inventories, coordinating with vendors, janitorial, IT, and landlord, as well as managing mail room activities, and assisting Corporate Real Estate with on-site activities as directed. This position works in a highly confidential capacity applying standard administrative skills and relieving the Director Sales Operations of various administrative details.

In addition to facilities administration work, this individual will provide administrative support to and manage/assist with special projects for the Director Sales Operations as directed/needed.

  • Manages G&A expenses for Sales team, works with the Finance/Accounting team in Manila as needed; manages G&A budget to ensure everything is accounted for properly and correct cost centers are used.
  • Works with AP making sure that vendors are paid in a timely manner.
  • Sets-up Purchase Orders in Del Monte’s systems to ensure vendors are paid on time and costs are allocated to the correct cost center.
  • Ensures all meeting details such as appropriateness of meeting room, catering, equipment, initiating conference calls, etc.
  • Point person for Del Monte events in Pittsburgh, i.e., new employee onboarding, Town Halls, executive team visits, employee swag items, DMEA events.
  • Acts as facility coordinator for corporate office in Pittsburgh, PA. Monitors janitorial staff effectiveness.
  • Supports teams on project work as directed.
  • Maintains break room and office supply inventory. Coordinates repair of office furniture when necessary.
  • Coordinates building related maintenance with landlord. Ensures furniture, appliances, security items, obtains bids from vendors, while working within DMFI building standards with guidance provided by facility services.
  • Receives and assists visitors. Will act as first line of contact for security issues for the Pittsburgh office.
  • Organizes special events in the Pittsburgh corporate office.
  • Partners with IT to ensure operation of office equipment including completing preventive maintenance requirements; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques; add/remove/change and equipment maintenance.
  • Maintains office seating charts and provides to the facilities team.
  • Creates ID badges within Galaxy system for all employees and coordinates list of badge numbers with landlord and Guardian Protection. Provides Facilities with attendance numbers.
  • Overnight Shipments/Mail: Receives packages and US mail, distribute accordingly, ship packages as requested.
  • Acquires SVP/VP signature/approval as needed on various documents.
  • Performs other duties as assigned or as judgment or necessity dictates.

Qualifications:

  • BA/BS degree preferred.
  • 3-5 years of recent Administrative experience in a corporate environment required.
  • Must have intermediate skills in Excel, especially with Pivot Tables and V-Lookup.
  • Prior experience with handling expenses and budgets.
  • Prior facilities experience in regards to office and break-room supply replenishment and gathering the office mail.
  • Detail oriented, organized and possesses a high level of confidentiality and professionalism in dealing with the Executive Team when they are onsite.
  • Models DMFI core values and behaviors.
  • Excellent organizational, interpersonal, planning, negotiating, and communication skills.
  • Proven ability to work under pressure in a fast paced, rapidly changing, and complex environment.
  • Self-directed, demonstrating strong bias for action and problem-solving skills.
