We are in search of a dynamic professional poised to embrace a dual-role capacity, offering executive support to our senior leadership and aiding our internal and external sales teams. This is a full-time, permanent position. The ideal candidate is a forward-thinker with excellent communication abilities and a keen eye for detail, seasoned in navigating office environments, executing administrative responsibilities, and bolstering executive and managerial efforts.

Executive Assistant Responsibilities:

  • Strategic Support for Leadership: Directly assist the CEO and senior leadership in managing and executing strategic initiatives. This requires meticulous planning, time management, and diligent follow-through.
  • Align with Organizational Objectives: Deeply understand the company’s mission, goals, and objectives to actively contribute to new and existing corporate initiatives.
  • Streamline Executive Workflows: Coordinate schedules, manage deliverables, and facilitate communication among executives.
  • Facilitate Executive Communications: Act as a central point of communication within upper management, liaising with leadership on various projects and tasks. This involves managing correspondence, organizing meetings, and ensuring clear and effective communication channels are maintained.
  • Prioritize Executive and Organizational Goals: Plan and organize workloads to ensure that the priorities of senior executives are met, organizational goals are advanced, and established best practices are adhered to.

Sales Support Responsibilities:

  • Enhance Team Coordination: Establish and maintain open lines of communication with both internal and external sales teams. Understand their client interactions and challenges to provide tailored administrative support, thereby streamlining the overall sales process and enriching the client experience.
  • Bridge Departmental Gaps: Act as a pivotal connector among sales, operations, and engineering teams, ensuring seamless and efficient exchange of information. Keep all stakeholders informed on sales deliverables, project statuses, and essential updates.
  • CRM Oversight and Reporting: Vigilantly monitor the Customer Relationship Management (CRM) system to track new sales leads, client interactions, and progress through the sales pipeline. Ensure adherence to established sales processes, facilitate forecasting, and generate reports as needed.
  • Facilitate Efficient Operations: Collaborate closely with department heads to streamline the management of requests for quotations, marketing materials, and project updates. Ensure that all sales-related inquiries are addressed promptly and efficiently.
  • Urgent Response Handling: Serve as the first point of contact for urgent client inquiries in the absence of sales representatives. Provide timely and accurate information to maintain continuity in client communications and preserve client satisfaction.
  • Project Communication: Proactively inform sales representatives and clients about project progress, potential delays, and any significant updates.
  • Sales Training and Support: Offer continuous support and training to sales executives on CRM functionalities, as well as internal procedures and operational processes.

Essential Skills and Experience:

  • Minimum of four years in an Executive Assistant role or similar, with direct exposure to senior management.
  • Exceptional written and verbal communication skills.
  • Detail-oriented, with excellent organizational skills.
  • Proficient in managing time and orchestrating multiple projects simultaneously.
  • Skilled in Microsoft Office software with a quick adaptability to new technologies.
  • A collaborative and flexible approach, ready to tackle new challenges.
  • Discretion in handling confidential company matters.

Desirable Qualifications:

  • Background in sales or as a sales coordinator.
  • Expertise in refining internal workflows and documentation systems.

Salary: $60,000.00-$75,000.00 per year
