Job Title: Customer Success & Administrative Support Specialist
Location: Tonawanda, NY 14150 | In-person | Full-time​

Position Summary
We are seeking a Customer Success & Administrative Support Specialist to manage client communications, provide post-delivery training, and support our sales team with invoicing and administrative tasks. The ideal candidate will be articulate, detail-oriented, and adept at multitasking in a dynamic environment.​

Key Responsibilities

  • Customer Communication: Address client inquiries via phone, email, and online chat, providing timely updates on orders and production timelines.​
  • Client Training: Conduct post-delivery onboarding sessions, including virtual training calls, to explain product usage and best practices.​
  • Administrative Support: Assist the sales team with invoicing, data entry, document organization, and scheduling.​
  • CRM Management: Maintain accurate records in HubSpot CRM and assist with task tracking.​
  • Order Processing: Coordinate with production and shipping teams to ensure timely delivery of products.​

Qualifications

  • Minimum 3 years of experience in customer service, administrative support, or account management.​
  • Experience conducting client presentations or product training is highly desirable.​
  • Proficiency in QuickBooks or similar accounting software.​
  • Familiarity with HubSpot CRM or similar platforms.​
  • Strong verbal and written communication skills.​
  • Exceptional organizational skills and attention to detail.​
  • Ability to multitask and prioritize in a fast-paced environment.​

Compensation

  • Pay: $23.00–$26.50 per hour​
  • Hours: 40 hours per week, Monday–Friday (8-hour day shifts)​

Work Environment
This is a fully in-person role based at our Tonawanda, NY facility. Remote work is not available.​
