GuidePoint Security is hiring a Sales Operations Specialist to support our Captive Finance Program ("GPSF"). This position is responsible for working with our sales, sales operations, and accounting and finance teams to ensure that finance transactions are properly quoted, documented, and ultimately funded. This position will interface with the client, an internal team for all matters related to due diligence, documentation, perfection, closing, and funding, and thus must be able to coordinate with and influence multiple parties while driving toward the shared goal of an excellent client experience. This position will also be responsible for identifying and correcting process related challenges that occur in a startup like environment and communicating them to management for corrective action. Ensures all documents required and information required for closing are in place and coordinates judgmental "clear to close" decisions and any document or process exceptions with their manager or mentor. The Sales Operations Specialist will ensure that all lease/loan documents required for closing are completed and ensure that the business' equipment liens and ownership are perfected correctly in accordance with legal requirements and Policies and Procedures.

Responsible and accountable for risk by openly exchanging ideas and opinions, elevating concerns, and personally following policies and procedures as defined. Responsible for always doing the right thing for customers, colleagues, and the business and ensuring that actions and behaviors drive a positive customer experience. While operating within the risk appetite, achieve results by working with their manager to consistently identify, assess, manage, monitor, and report risks of all types.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Manage the entire transaction documentation and closing process for Finance transactions both internally within GuidePoint Security and externally with our bank partners.
  • Works with the Sales and Sales Operations teams to ensure that Salesforce accurately portrays the economics of the deal and that revenue, costs, and gross margins are accurately captured.
  • Serves as the primary liaison on the GPSF team who interacts and provides accurate data to the accounting, finance, tax, and purchasing teams within GuidePoint Security.
  • Responsible for interacting with our banking partners to ensure that customers are paying the correct accounts in a timely manner.
  • Actively participates in training programs within GuidePoint Security related to GPSF processes and procedures.
  • An active member of the deal team working directly with the client and internal team to ensure that policy, sales tax, compliance, and regulatory matters necessary for closing are addressed early in the process.
  • Effectively manages and prioritizes work queues for new lease/loan transactions.
  • Proactively manages work-in-progress within the closing calendar, simultaneously balancing multiple internal and external stakeholders' needs.
  • Ensures transactions are documented and closed per the instructions and conditions stated in the credit and asset management approval memo(s).
  • Works with their manager to determine, obtain, and analyze required due diligence and required closing items including, but not limited to:
    • Deal submission form (internal GPSF process)
    • New Customer Form Submission
    • Responsible for ensuring GPSF is set up as a vendor within the customer
    • Know Your Customer Requirements
    • UCC searches
    • Proof of insurance
    • Entity Corporate documents
    • Assignment documents
    • UCC-1/UCC-3 preparation
    • Invoices/Proof of Payment
    • Prepares appropriate documentation in compliance with the terms of the request.
    • Obtain all necessary approvals, including accounting, tax, pricing, and legal, to ensure that.
    • Work with their manager to determine if enlisting assistance from legal counsel to advise on specific transaction issues and unresolved legal matters about transaction documentation is required.
    • Ensure effective communication and coordination with applicable departments to finalize finance transactions.
    • Thoroughly understand lease/loan documentation and other source data to ensure proper boarding of all aspects of the transaction into the sales, accounting, and purchasing systems.
    • Take proactive steps to ensure that follow-up items are received promptly and timely.
    • Ensure all goals and departmental service standards are met.
    • Escalate issues to appropriate personnel as necessary.
    • Participate in projects as assigned.
    • Present suggestions on efficiency improvements for the department.

Job Requirements:

  • 3-5 years experience with loan documentation, with demonstrated expertise in due diligence and perfection processes, preferred.
  • Bachelor's degree in business (e.g., business administration, finance, accounting) or equivalent work experience is preferred.
  • Proficient knowledge of loan structures and documentation needs/requirements.
  • Knowledge of loan documentation, collateral, lien perfection, evaluation/review/interpretation of UCC searches, vehicle titling needs, and processes is strongly preferred.
  • Working knowledge of bank accounting/boarding systems.
  • Proficient with all Microsoft Office products.
  • Strong attention to detail.
  • Practical problem-solving and analytical skills, with the ability to handle and prioritize multiple tasks.
  • Ability to work independently, with minimal direction.
  • Solid decision-making skills.
  • Solid verbal and written communication skills, with a team player attitude.
  • Comfortable interacting with corporate customers and peers.
  • Ability to meet deadlines under pressure.
