Hyatt Regency Aurora Conference Center is seeking a top performing, HotelSales Coordinator.
Our successful hotel is looking for a hospitality professional with a sales mindset to assist in helping grow our hotel. The Hotel Sales Coordinator will serve as a liaison between the sales department and the front desk to provide our guests with an unforgettable experience at our hotel in addition to attracting new guests to increase our revenue. The Hotel Sales Coordinator will be responsible for responding to guest inquiries, contacting potential new guests based on networking and referral leads, and assisting the sales team with administrative tasks. - Support the Sales & Catering team administratively including correspondence, preparing reports, and assisting with reservations.
- Provide telephone and message support for the department and respond to inquiries in a timely, clear, and pleasant manner.
- Create bookings in Envision for leads for Sales and Catering Managers.
- Build group and catering posting masters in Opera.
- Build group room blocks in Envision complete with proper routing, alerts, upgrades, and deposits.
- Maintain group blocks by processing rooming lists, verifying cutoff dates, audits, duplicate reservations, VIPs, reservation edits, etc.
- Handle reservations for VIP clients including meeting planners, site tours, and corporate guests.
- Ensure that all arrangements, including upgrades and amenities, are handled properly.
- Post-meeting planner points for groups.
- Receive requests for internal meetings, block space, and create event orders.
- Create gift certificates for the Sales Department and General Manager as needed.
- Event manager for smaller rooms-only groups including client communication and resume details.
- Assists sales, catering, and accounting teams with scheduling, collecting, and ensuring accurate and on-time delivery of group deposits and group billing.
- Complete monthly commission reports.
- Order office supplies for the Sales & Catering Department.
- Assists sales and catering team in the preparation of Banquet Event Orders and internally distributes to departments when necessary.
- Prepares detailed and quality Group Resumes and internally distributes them to all necessary departments to proactively and appropriately convey pertinent group information to the team.
- Coordinate with other departments through verbal and written instructions as appropriate. Ensure prompt attention to time-sensitive requests by hotel colleagues.
- Development opportunities within the Sales & Catering department such as drafting proposals and/or contracts, conducting site tours, assisting with event detailing, and eventually small bookings with a goal and bonus potential.
- Complete additional projects as assigned.
- High school diploma or equivalent GED
- Bachelor's degree in business administration or related field preferred
- Previous sales, front desk, or administrative experience working in the hospitality industry preferred
- Must be self-directed, and motivated and demonstrate intuitive customer service and interpersonal skills.
- Effectively deals with internal and external customers, with high levels of patience, tact, and diplomacy.
- Communicates clearly, concisely, and openly in all interactions.
- Has exceptional attention to detail, and organizational, analytical, and time management skills.
- Multi-tasks and prioritizes in a fast-paced work environment.
- Exercises sound judgment; evaluates situations and utilizes appropriate and creative resources to solve problems.
- Is technologically savvy, with a working knowledge of Microsoft Office, Envision, and Opera Preferred.
- While the typical schedule does not require it, applicants must be able to work weekends & holidays as needed.
