The Senior Project Coordinator will ensure that goals and objectives specified for the project or program are accomplished in accordance with Ontario Health’s established priorities, time limitations, funding limitations or other specifications.

The Senior Project Coordinator will support project managers in the successful delivery of Ontario Health projects, ensuring strong project communication, documentation and reporting throughout the project lifecycle. Where required, will act as backup to a project manager and/or manage some work packages within the project.
Here is what you will be doing:
  • Develop, draft and manage project management artifacts, such as agendas, minutes, project charters, project logs (action, issue, risk, and decision), integrated project plans, lessons learned and project close out.
  • Follow-up on team member commitments and proactively identify and track risks and issues.
  • Prepare, submit and track technical requests for change (RFCs) and monitor/report on their execution to support project delivery
  • Issue project change requests (PCRs) as applicable in response to changes in scope, schedule, budget
  • Builds strong relationships with internal clients and external stakeholders.
  • Helps the PM/Sr. PM manage scope, timeline, and costs to achieve project objectives in accordance with business needs/expectations.
  • Helps the PM/Sr. PM create detailed project plans by identifying and engaging required subject matter experts.
  • Keeps team members appropriately informed and ensures project resources and tools are readily available.
  • Leads/controls meetings and keeps discussions on track to accomplish goals.
  • Acts as backup to a project manager or manages some work packages.
  • Supports team and team members to achieve success.
  • Suggests strategies/means of improving performance of the projects to the Project or Senior Project manager for consideration/approval.
  • Enables and encourages people; ability to gain respect and trust.
  • Builds strong team spirit based on trust and focus on common goals.
  • Focuses on improving healthcare delivery in the province through positivity and being engaged.
  • Maintains. professional certification and Pparticipates in continuous learning in the relevant professional area(s) and leverageds acquired knowledge to improve project delivery in the organization.
  • Takes appropriate action to keep the project on track as it relates to scope, budget, and schedule.
  • Makes decisions that have a moderate impact on the program and related programs.
Here is what you will need to be successful:
Education and Experience
  • College diploma or university degree in a related field.
  • 3 – 5 years of experience in providing project coordination services and managing small projects, preferably in a project management environment.
  • Good working knowledge of Project Management methodologies such as Waterfall and Agile.
  • Good working knowledge of Software Development Life Cycles.
  • Demonstrated knowledge of project cost accounting principles and practices and managing project budgets.
  • IT Infrastructure and ITIL experience is an asset.
  • Knowledge/expertise of current technology trends is an asset.
  • Knowledge/experience in release management is an asset.
  • Familiarity with legislation applicable to healthcare organizations such as PHIPA is an asset.
  • Experience in procurement process and vendor management is an asset.
  • Technical knowledge/expertise gained through work experience as a developer or business analyst is an asset.
  • Understanding of Ontario Health business goals and mandate and how it applies to the provincial health care system is an asset.
Knowledge and Skills
  • Strong communication and presentation skills to create clear content for artifacts, prepare project charters/plans, elicit information from subject matter experts, and lead meetings.
  • Ability to build strong relationships with internal clients and external stakeholders.
  • Acumen to resolve conflicts at all team level with tact.
  • Well-developed analytical skills with a keen eye for details to create detailed work streams, manage project scope, timeline, and costs to achieve project objectives in accordance with business needs/expectations.
  • Expertise in Microsoft suite such as Microsoft Office Suite, Microsoft Project, Visio and SharePoint, and other productivity tools such as Jira, Confluence, Remedy.
  • Ability to keep team members appropriately informed (ensures that people have information they need to do their work.
  • Good negotiation skills.
  • Ability to lead/control meetings and keep discussion on track and accomplish goals.
  • Ability to perform as a backup to a project manager or manage some work packages.
  • Ability to recognize effects of behavior on others and seeks to adjust according to reactions from others.
  • Acumen to resolve conflicts at all team level with tact.
  • Ability to see the business value of the work being done and how it fits within the “big picture”.
  • Ability to make decisions where results have a moderate impact requiring easily achieved solutions and corrections.
Employment Type: Permanent Full Time
Salary Band: 4
Location: Ontario (currently hybrid; subject to change)
