About the Position
As a mid-level Sales Operations Coordinator in the Client Services group, you will report directly to the Sales Operations Manager, working closely to support all client services teams with essential tasks, data management, and process coordination. You will be responsible for managing diverse departmental responsibilities, ensuring operational efficiency, data integrity, and effective communication across teams within client services.
This opportunity is available to both local / in-office (Lakewood, CO) and full-time remote candidates.
Essential Responsibilities
- Facilitates the order intake process by collaborating with sales, finance, and operations teams, ensuring accuracy in order details and alignment with internal systems.
- Supports an evangelizes the use of HubSpot, utilizing its tools to manage and track sales activities, update customer data, and generate reports that support team initiatives and strategic decisions.
- Maintains data integrity within HubSpot and DVP by conducting regular audits and updates to keep records accurate and current.
- Prepares and provides regular reports to management as needed, ensuring relevant information is available for decision-making.
- Assists the sales team with lead generation activities and ensures smooth handoffs when opportunities are won.
- Ensures NEI Resumes are consistent and up to date.
- Supports the proposal team with all statement of qualification requests.
- Serves as a liaison between sales, finance, and operations teams to resolve any deal-related issues and streamline processes.
- Monitors and follows up on customer quotes that are inactive, aged, or unaccepted with Account Managers.
- Performs data entry, updates and creates opportunity records, and assists in territory assignment as needed within the CRM.
- Supports the marketing team as required with campaign management, content creation, reporting, research, social media, even coordination, and other opportunities as required.
- Helps document new processes and procedures as they are implemented across the organization.
- Assists with ad hoc tasks or special projects as directed by management, with flexibility to support various teams based on workflow demands.
- Other duties as assigned.
Must Have
- Education: A bachelors degree or relevant experience
- Experience: 3+ years of relevant experience
- Experience with CRM systems, preferably HubSpot or Deltek VantagePoint.
- Experience with Microsoft Excel, SmartSheets or other spreadsheet tool.
- Strong multi-tasking abilities, with the capacity to manage competing priorities and meet tight deadlines.
- Effective cross-functional collaboration skills, with the ability to work with multiple levels of leadership.
- Proficient with Microsoft Office Products.
- Problem-solving skills and a strong attention to detail.
- Capable of working both independently and within a team.
- Possesses effective written and oral communications skills.
- Good interpersonal and people skills
- Applicants must be currently authorized to work in the United States on a full-time basis.

Work is performed in an office setting and some field work may be required
