A day in the life of an Inside Sales Support Associate is all about balance! Opportunities abound for you to showcase your resourcefulness and foresight, all while providing the proactive administrative support needed for your team to meet its goals.
Your day begins by diving into your inbox to confirm the latest purchase orders issued by our main broker partners. With your logical and systematic approach, you quickly match these POs to existing quotes and orders in our system and prepare them for the next steps in the process. You exchange emails with the broker’s administration team to confirm details in Salesforce. Next, you focus on yearly, seasonal bookings for long-standing customers, spanning over 25 years of partnership.
Fresh off a call with a customer based on the East Coast, a Key Account Manager has a lead on a full truck of lavender shrubs that will ship later this week. With the details he collects from the call, you set to work preparing a quote with the requested products, ready for him to review and send to the customer for a quick turnaround.
During today’s Sales Team huddle, you jump at the chance to compile a full sales history ahead of a customer visit, freeing up valuable time for the Account Managers to focus on exceeding the needs of this key partner. The office is buzzing with activity but your organizational skills and diligent prioritization keep you and the team on track!
It’s a busy shipping week so you collaborate with the Operations Team to fine-tune the details for the next shipments and ensure the Logistics Coordinator has everything she needs for booking trucks.
You finish your workday by meeting with the Sales Manager to discuss sample orders that need to be prepared — the latest addition to your to-do list for tomorrow!

Job Summary:
As an Inside Sales Support Associate at Qualitree, you support the Sales Team by ensuring timely, accurate assistance. Your primary responsibility is to enable the Sales Team to meet and exceed sales targets. You will build and nurture customer relationships, ensure accurate data entry, and communicate effectively with internal and external partners. You do not require a lot of direction, rather you anticipate the needs of others; jumping in to help is natural for you. You are a team player who can effectively plan, prioritize, and adapt to changes. You contribute to the overall success of our sales efforts by ensuring efficient handling of customer inquiries and supporting the sales process from initial contact through to order confirmation.

What We Need From You:
- Positive attitude, adaptability, and a willingness to learn and take on new responsibilities
- Proven experience as an administrative assistant, sales support, or similar role for 3+ years is an asset
- Certification or coursework in business/office administration is an asset
- Computer proficiency, including office management software
- Excellent written and verbal communication skills
- Ability to handle sensitive information with discretion and maintain confidentiality
- Demonstrated problem-solving and decision-making skills
- Efficient time management and prioritization skills
- Team player with the ability to collaborate and cross-train effectively in a results-driven environment
- Demonstrate proficient use of Salesforce or other CRM tools and exhibit high competency in Google Suite/Microsoft Office
- Showcase excellent technical skills in spreadsheet creation, highlighting overall computer proficiency
- Excellent communication and interpersonal skills
- Strong organizational and multi-tasking skills with keen attention to detail; an eye for noticing details others may miss

Your Duties Will Include:
- Effective administrative support:
- Promptly and professionally triage customer inquiries via phone, email, or other communication channels
- Contribute to the continuous improvement of internal processes and workflows
- Maintain accurate records of customer interactions, transactions, comments, and feedback
- Generate reports and summaries to inform the Sales Manager about customer support activities
- Order entry/confirmation and details:
- Work with the Sales Team to create, develop, and close on sales opportunities
- Work with customers, and internal teams to ensure information accuracy in the sales process through order confirmation
- Communicate with customers regarding their yearly rebookings and support house accounts when necessary
- Support Sales Team with customer communication:
- Communication with customers to obtain order details
- Communication with Operations and Logistics to ensure order shipping accuracy
- Provide ongoing email management for the Sales Team, including some direct customer communication
- Maintain PO confirmation platforms with Industry Partners.
- Maintain accurate records of customer interactions, transactions, comments, and feedback
- CRM data entry and management
- Act as a liaison between the Sales Team and other departments to ensure smooth, cross-functional communication
- Additional duties as assigned
