Specific duties & responsibilities will include but are not limited to.
This position will provide operational and commercial support within the Private Sales Service Centre by ensuring completeness, accuracy, timeliness and proper governance is achieved for all private sale transactions. It will provide a seamless and effective service to internal and external stakeholders as an integral part of the Private Sales Service Centre and work with other key members of the team to ensure all transactions are compliant and correctly accounted for.
Primary Responsibilities
  • Validating and verifying private sales transactions globally for all entities to ensure:
    • Christie’s has the legal right to consideration.
    • Transacting with the vendor and/or buyer does not place unnecessary risk on Christie’s.
    • Any tax considerations have been vetted and approved.
    • Any contingent issues for sale or payment have been addressed; and
    • The corresponding accounting entries accurately reflect the sale.
  • Acting as the main point of contact with the specialist departments for all of their Private Sale transactions to ensure correct procedures are followed and proper documentation is received for all transactions.
  • Ensure good relations with all of PSSC key stakeholders.
  • Invoice creation of Private Sale invoices for all jurisdictions globally, ensuring you have the localized knowledge of all legal and tax requirements in each jurisdiction.
  • Ensuring payment from the buyer and settlement to the seller is timely and accurate, liaising with Treasury and Payments Team to provide seamless client service.
  • Ensure members of the Private Sales Service Centre globally are adhering to all policies and procedures.
  • Ensure Private Sales are reconciled back to the General Ledger and the Client Accounting ledgers for this channel are maintained.
  • Monitoring outstanding buyer payments for private sale transactions, following up with specialist departments and client team leaders as necessary to update status.
  • Ensure PSSC inbox service standards are adhered to. Including good communications and response times
  • Communicate to the Business Director, PSSC & Client Accounting any complex deals, high value deals and new jurisdictions.
  • Constantly look to improve process and procedures and handoffs.
  • Resource planning to ensure deadlines are met and with other seniors to ensure there is adequate cover for all key auctions and events ensuring adequate office cover at all times.
  • Support Business Director, PSSC & Client Accounting with the rollout of IT initiatives and allocating staff to upcoming projects
  • Be an advocate for the Client Accounting team, best practice and compliance. Drive right behaviors, development plans and leadership effectiveness.
  • Cross-Functional Collaboration: Collaborate with the Client Accounting and Commercial office teams to ensure alignment on client needs and priorities. Foster a culture of teamwork and collaboration between these teams.
  • Management of the PSSC NY based Account Manager
  • Work closely with the CA Assistant Manager to ensure good relations are maintained and support when necessary
  • Ensure Art department Private Sale pipelines are understood at all times in order to manage resource and plan accordingly.
  • Ensure the partnership with the PSSC Financial analyst is in place at all times with a fluid line of communication to understand the true profit of each deal is correctly accounted. This should also include when selling Christie’s stock.
  • Support the revenue recognition process and ensure all deferrals are correctly processed.
  • Ensure the Private Sale Exhibition calendar is understood and resourced and that clear procedures and guidelines are issued and understood.
Managing Stakeholder Relationships
  • Building and maintaining strong, long-lasting relationships with external and internal clients
  • Communicate to the business and to clients clearly and with integrity in a professional style.
  • Field, resolve or escalate where appropriate both internal and external inquiries regarding client transactions.
The Candidate
  • Prioritizing workload to ensure all deadlines are met.
  • Good level of accounting knowledge
  • Excellent Excel skills
  • Knowledge of Outlook, Word, PowerPoint, and JDE preferred.
  • Ability to work under pressure and on own initiative in a responsible and professional manner.
  • Excellent written and oral communication skills.
  • Challenges current norm in pursuit of looking for better, more effective ways of identifying and delivering best practice with exceptional levels of service to stakeholders.
  • Languages preferred.
