The Executive Assistant will provide high-level administrative support to the Head of Business Unit Americas and support the sales and marketing department with administrative duties. The Executive Assistant also serves as a liaison to senior management teams, organizing and coordinating executive outreach and external relations efforts and overseeing special projects. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

Essential Duties & Responsibilities:
  • Works effectively with Company personnel, customers and others by sharing ideas in a constructive and positive manner; listening to and objectively considering ideas and suggestions from others; keeping commitments; keeping others informed of work progress, timetables and issues; addressing problems and issues constructively to find mutually acceptable and practical business solutions; addressing others by name, tittle or other respectful identifier, and; respecting the diversity of our work force in actions, words and deeds.
  • Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
  • Sustain a daily calendar of meetings and events.
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization.
  • Liaison/Trainer for MS Dynamics (contact relationship management).
  • Daily interface with product management and inside sales groups, customer service, marketing, and operations regarding daily business.
  • Update pricing files as requested by outside sales managers, make discount adjustments for vinyl pipe, fittings and valves, HDPE product lines.
  • Arrange travel and accommodations for executives. Prepare expense reports.
  • Assist with coordinating and planning off-site meetings and trade shows.
  • Negotiates the yearly agreements for corporate rates with local hotels to secure best rates.
  • Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
  • Excellent communication and time management skills; proven ability to meet deadlines.
  • Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
  • Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with.
  • Assist in preparing and managing presentations and decks.
  • Be responsive to emails/texts/phone calls, with contact outside normal business hours.
  • Welcome the Executive’s guests by greeting them, in person or on the phone, answering or directing inquiries.
  • Use discretion, confidentiality, and good judgment to handle C-Level matters.
  • Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
  • Conserve the Executive's time by reading, researching, collecting and analyzing information as needed, in advance.
  • Organize complex calendars and schedules, resolving any scheduling issues
  • Follows the procedures as presented in the Employee Handbook, Etiquette Brochure, department procedures, captures contact information, and follows verbal, written or diagram instructions as provided by supervisors and managers.
  • Committed to the protection of the environment and the health and safety of our employees, customers, and neighbors. Responsible for maintaining and continuously improving our Environmental Management System (EMS).
  • All other duties as assigned.

    Bachelor’s Degree (or equivalent) in Sales, Marketing, or related field, preferred—MBA a plus.
    Company product and industry knowledge, a plus
    SAP experience, a plus.
    Advanced proficiency in Microsoft Office a plus (Outlook, Word, Excel, and PowerPoint).
    Ability to communicate effectively and professionally.
    Passing of Company post-employment physical as well controlled substance testing and background and security checks, as required.
    Flexible hours as dictated by the needs of business for projects and meetings.
    Fluent in English, Spanish a plus.

    Position is office based, Monday through Friday.
    5% -10% travel required throughout the year. Domestic and International
