Summary
Under general supervision of the Director of Sales, or designee, the CVB Sales Support Coordinator is responsible for assisting the sales staff with a variety of sales administrative activities and operations support to include research, data entry, scheduling of client meetings, events tracking and assisting with customer/client inquiries.
The intent of this position description is to provide a representative summary of the major duties and responsibilities performed by incumbent(s) in this position. Incumbent(s) may not be required to perform all duties in this description and incumbent(s) may be required to perform position-related tasks other than those specifically listed in this description.
Essential Job Functions & Other Important Duties
Essential Job Functions:
- Provides administrative support to the sales team.
- Assists sales staff in researching organizations, database entry in CRM, and tradeshow follow up.
- Assists in organizing individual site inspections and group familiarization tours for the sales department to acquaint clients with the hotels, restaurants, and attractions.
- Works with our industry partners to maintain open flow of communication.
- Coordinates with the services team to organize and deliver Frisco collateral and client gifts to convention groups.
- Assists sales teams in setting appointments for sales blitzes.
- Completes post-meeting follow-up to include post-convention surveys, thank you letters, MINT post-convention reports and pick-up reports.
- Assists staff in research and database input as needed.
- Develops and distributes various communications with key partners regarding city-wide events and upcoming groups.
Other Important Duties:
- Provides backup support for other staff as needed.
- May travel to attend meetings, conferences, and trainings.
- May be required to attend special events and meetings during evenings and weekends, as needed.
- Performs other related duties as assigned.
- Regular and consistent attendance for the assigned work hours is essential.
Job Requirements
Knowledge, Skills, and Abilities:
- Knowledge of methods and procedures used in the hospitality industry and meetings.
- Knowledge of City management policies and procedures.
- Proficiency in the use of computers and related equipment, hardware, and software applicable to area of assignment.
- Skill in effective oral and written communications.
- Skill in prioritizing, tracking, and managing multiple projects, assignments, and duties.
- Skill in resolving customer complaints and concerns.
Education, Experience, and Certifications/Licenses:
- Bachelor’s degree in Hospitality, Communications, Business Administration, or related field preferred or Associate Degree and three (3) years related experience with a Convention and Visitor’s Bureau or a convention hotel, or equivalent combination of education and experience that support the ability to perform the essential functions and/or skills of the job.
- Knowledge of Customer Relationship Management (CRM) systems preferred.
- Must pass a pre-employment drug screen, criminal background check and MVR check.
- Must possess valid State of Texas Driver’s License.

- Work is performed in an office setting, off site and at special events.
- May be exposed to extreme weather conditions during special events, media briefings or public emergencies.

- Walking - on foot to accomplish tasks, long distances, or site to site.
Work Environment:
- Work performed is primarily light work, exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force to move objects.
