SUMMARY:
In this role, you will be responsible for supporting the sales and event departments at your
assigned properties. Responsibilities include group and event coordination, prospecting for new
business, lead management, and performing required sales best practices. You will assist in
planning, coordinating, and delivering event management tasks for large events and weddings
alongside the hotel Director of Sales and Events and the hotel team. Tasks may be assigned
during normal business hours or event times, primarily on evenings and weekends. This role
focuses on supporting special events and contributing to the hotel's overall revenue strategy
and goals.
ESSENTIAL FUNCTIONS:
The sales manager works closely with the sales team to execute the following tasks:
Group and Event Management:
- Full understanding of hotel property, amenities, policies and procedures.
- Pre/post arrival communications to provide a flawless premier experience.
- Ensures that all function space in the hotel is always presented in show fashion.
- Schedule and conduct site tours, pre-arrival and post event walk throughs as needed.
- Understand the flow of events, efficient timelines and coordination of large groups.
- Provide excellent vendor relationships and experience, coordination of deliveries and timelines.
- Direct hotel set up crew and support staff throughout entire event process.
- Protect the investment of inventory and building.
- Inspect and walk hotel function space to ensure room condition, cleanliness, and good working
condition of equipment post events. Report any damage or mistreatment.
- Maintains a scheduled cleaning program for each function room in between events; delivering
desired level of quality is maintained on a continuing basis.
- Ensures that all equipment used in the department is in good order and uses preventive
maintenance schedules for all equipment. Maintain inventory.
- Oversee all event management duties as manager on duty in the absence of the director of sales
and events/general manager.
- Ensure smooth flow of information and communication from sales to all departments
- Create and maintain a good working relationship with department leads and staff.
Act of Sales:
- Develop and conduct persuasive verbal sales presentations to prospective clients while
fostering keen skills from sales call processes.
- Expertly follow the full sales call process from prospecting to close of business.
- Embrace the art of prospecting for new business based on hotel goals and needs.
- Ability to fully qualify business at time of inquiry to understand business impact.
- Understanding of market conditions impacting hotel sales including vendors and
influencers in the market.
- Establish and maintain relationships with key business, vendors, and partners within
assigned markets and maximize sales opportunities.
- Represent hotel at trade shows and ensure proper set up of exhibits.
- Ability to evaluate group and negotiated pricing within budget guidelines of profitability.
- Utilize revenue management strategies and yielding when quoting group pricing.
- Ensure group sales and banquet sales meet service and budgeted goals.
- Coordinate and process all phases of group contracts, book orders, secure deposits, and
payments for group blocks.
- Prepare information for, meet with, and entertain clients as deemed appropriate by
potential business from that account.
- Travel locally to conduct outside calls with sales leadership or independently, promote
the hotel and review competition.
Sales Office Duties:
- Monitor group pick up on monthly and annually historical group volume report.
- Maintains sales CRM database to maximum potential, including tracking of business,
account maintenance, sales revenue, and provides ongoing status reports.
- Coordinate and assists training with the front desk to provide sales focused goals.
- Work in hotel POS system for account detailing, billing, and check-in/checkout duties.
- Responsible for routing group resumes/BEOs to departments for groups and events.
- Attends weekly department and BEO meetings.
- Advises hotel department heads of special requirements of groups coming into the
hotel.
- Maintain all brand required training and communications regarding position.
Job Type: Full-time
Pay: $16.56 - $25.00 per hour
Expected hours: No less than 40 per week
