Our Event Sales Manager is responsible for planning, coordinating, and executing a variety of events, ensuring they run smoothly and meet the objectives of the club. This role involves overseeing all aspects of event planning and management, including budgeting, logistics, vendor coordination, and on-site execution. The ideal candidate is highly organized, detail-oriented, and has excellent communication and interpersonal skills.
Duties and Responsibilities Highlights:
- Plan, organize, and execute events such as conferences, seminars, weddings, and corporate events.
- Develop event concepts and themes in alignment with organizational goals and objectives.
- Create detailed event plans, including timelines, budgets, and task lists.
- Develop and manage event budgets, ensuring events are delivered within budget constraints.
- Negotiate contracts with vendors, suppliers, and venues to secure cost-effective deals.
- Coordinate with internal teams and external stakeholders to ensure all event details are managed efficiently.
- Oversee event setup, execution, and teardown, ensuring all logistics are handled smoothly.
- Manage event-related tasks such as registration, attendee communication, travel arrangements, and accommodations.
- Ensure vendors and suppliers deliver quality services and products as per agreements.
- Coordinate with venue management for event setup, catering, and other logistical needs.
- Serve as the primary point of contact during events, ensuring all aspects run smoothly.
- Address and resolve any issues or challenges that arise during events promptly.
- Ensure a positive attendee experience by overseeing registration, hospitality, and other attendee services.
A successful candidate will:
- Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field.
- Certification in Event Management is an asset, demonstrating comprehensive knowledge and expertise in event management practices and industry standards.
- At least 5 years of experience in Event Management or Sales Management, demonstrating a strong understanding of hospitality industry dynamics and customer service principles.
- Demonstrated track record of successfully planning and executing events, preferably in diverse settings such as corporate, non-profit, or academic environments.
- Ability to prioritize guest needs, maintaining composure and professionalism in all interactions, while ensuring exceptional service delivery.
- Strong interpersonal and communication skills to liaise with clients, vendors, sponsors, and internal stakeholders, ensuring seamless coordination and collaboration throughout the event planning process.
- Proficiency in Sales & Catering software and tools such as Jonas Activity Management and Windows-based applications.
- Extensive experience in Food & Beverage operations, with a broad understanding of culinary and service aspects, enhancing the quality and execution of event catering offerings.
- Genuine passion for the events industry and a commitment to delivering exceptional experiences that exceed client expectations and contribute to the overall success of the organization.
- Innovative mindset to conceptualize unique event ideas, themes, and experiences that engage attendees and leave a lasting impression.
- Flexibility to work irregular hours, including evenings and weekends, as required.
