Fulfillment Supervisor Job Responsibilities:

-These responsibilities cover three areas-

  • Customer sales order entry & fulfillment- The daily job will be to accept all orders, work with the sales team on any inconsistencies within the orders. And to ensure that all orders are filled and shipped as requested or, the order status is noted in the system. Our goal at Zorg is to ship the same day if an order is received by 4pm (Not entered). We strive to maintain this promise to our customers.
  • Receiving -The daily receipt, documentation and distribution of incoming supplier/customer material. Receiving personnel shall receive material from freight/parcel carriers and receive against PO’s, RA’s or other forms of internal receipt acknowledgement documentation. The material will be labeled and stored in designated locations within the warehouse.
  • Warehouse management- The person in this position will also be responsible for material handling (shipping/receiving) supplies, maintaining the warehouse, and overseeing the employees.
  • As the company grows, these responsibilities may change to include other needs to keep us moving forward.

Daily Responsibilities:

-Customer sales order entry & fulfillment.

  • Receive and accurately enter orders received from sales by email or other methods.
  • Respond to customers who require confirmation of order receipt.
  • Complete required Customs paperwork for International shipments.
  • Work with the sales team to resolve the orders' price or part number issues. (Do not interact with customers directly on any pricing issue. Refer the customer to the Sales Manager for this type of question).
  • Notify the sales team if a product is unavailable and determine the best solution for the customer (Backorder, cancel, substitution, etc.)
  • Set up new part bundles in QBO to fulfill the customer's order if required. (not inventory items)
  • Ensure all orders received before 4 pm are entered and, if possible, packed and shipped.
  • At 4 pm each day, run the open orders report for the day and check to ensure no order has been missed or was not printed.
  • Email filled orders to Chris Luft for invoicing at intervals during the day so they can be invoiced during business hours, suggested 12 pm and 4 pm.
  • Advise Management of any issues found with products or shortages of products.

-Receiving

  • Receive returns and vendor orders. This process includes opening and checking qty's of the product as needed. Forward the Receiver paperwork to Chris Luft for data entry.
  • Review production records and forward them to Chris Luft for inventory adjustment.
  • Create product labels denoting material part number, description, source,
  • Work closely with the production staff for producing stock for small qty orders of harnesses to fulfill orders and to maintain shelf stock designated materials.
  • Close out UPS and FedEx at the end of the day.

-Warehouse management

  • Straighten the warehouse area if needed and prepare for the next business day.
  • Identify shortages / low inventory levels to expedite material as needed.
  • Quarantine all non-conforming material.
  • Collect and dispose of trash and clutter to reduce safety issues.

General Weekly Responsibilities:

  • Review shipping materials such as boxes and packing materials. Provide Management with a list of required supplies.
  • Schedule warehouse staff to ensure complete and proper warehouse coverage during operational hours.
  • Review time sheets of employees and provide Management with Timesheets bi-weekly by the end of business on the Monday of payroll week.
  • Organize the warehouse as needed.

Monthly Responsibilities:

  • Inventory Cycle counts – Random counts of inventory items to help ensure our system's accuracy.

Ongoing Responsibilities:

  • General
  • Ensure that all proper procedures are followed when the product is shipped, received or stored. This includes but is not limited to the accuracy or the orders and proper packing procedures; ensuring any products being shipped, picked up, or pulled from the inventory have an order to be entered and documented to ensure inventory accuracy.
  • All received material has system documentation where it affects inventory, quality status and location.
  • Safe working practice.
  • Meet with Management to review operations and to discuss any concerns or changes you feel would benefit the company and how we could operate more efficiently.
  • Hiring/firing of warehouse staff, if required (with management approval), includes documentation of any issues that need to be addressed as well as exemplary work that the company should recognize.
  • Security of the warehouse to limit inventory shrinkage.

Job Type: Full-time

Pay: $45,000.00 - $55,000.00 per year
