Job Description

Are you eager to work with a highly respected eyelid and facial plastic surgeon who is world renowned for his pioneering contributions to laser cosmetic surgery? We are looking for a phenomenal medical office Practice Manager to oversee the administrative and business operations of our clinic, Reset Cosmetic Surgery. Our Tampa based practice has been delivering patient transformations for over 25 years throughout the United States and around the world.

The Practice Manager is responsible for overseeing the administrative and business operations aspects of the clinic. Their duties include hiring employees and developing a strong efficient team, ensuring compliance with regulations, developing structure, protocols and strategies for success, managing the budget, and first point of contact for all outside vendors and agencies of the practice. A Practice Manager must exhibit strong skills in leadership, organization, decision-making, strategy and staff development to build, grow and maintain an organization.

The Practice Manager will have the following skills and experience:

  • A minimum of 5 years of practice management/administration experience in a medical setting, preferably in the aesthetic industry.
  • Expert understanding of the industry and in-depth knowledge of health care finance best practices and standards.
  • Strong leadership skills overseeing and motivating a team of 10+ people, including Nurses, Medical Technicians, Administrative Staff, and Sales Consultants.
  • Excellent analytical and problem solving skills with a high level of attention to detail.

ESSENTIAL FUNCTIONS:

  • Manage the day-to-day operations of the practice.
  • Establish structure and implement effective, efficient workplace systems and protocols.
  • Ensure policies and best practices are up to industry standards and government regulations.
  • Maintain consistent communication with accounting/bookkeeping/HR, with knowledge of finances, including budgets and payroll.
  • Collaborating with medical personnel to develop and assess business strategies.
  • Hire, train and monitor practice staff.
  • Motivating staff and building office morale and positive, warm environment for patients.
  • Partner with office and medical supply vendors to help manage costs of supplies.
  • Ensure patient privacy is being maintained according to HIPAA laws and that the office meets OSHA, ADA and other standards.
  • Ensure accuracy and proper storage of financial statements, patient records, business documents, and vendor invoices.
  • Monitor physician licenses to ensure they are up-to-date.
  • Supervise the use of EHR, financial, marketing, and other software to ensure that records, data, and information are consistent and correct.
  • Monitor and report on payable and receivable accounts.
  • Monitor patient scheduling, referrals and satisfaction.
  • Interact with patients and address their concerns or complaints.
  • Coordinate regular staff meetings, staff development & training, and performance reviews.
  • Collaborate with Physicians to develop business strategies, sales objectives, and patient services.
  • Work as a team to ensure the practice runs effectively and meets objectives.
  • Assist in development, decision making, and execution of marketing strategy and main point of contact with outside marketing and public relations vendors.
  • Develop and/or review the office handbook, job descriptions, and other communications.
  • Respond to staff issues and provide assistance with resolution., coordinate with HR as needed.
  • Perform other tasks and duties as assigned.

QUALIFICATIONS:

  • Bachelor's Degree or equivalent experience required.
  • Minimum of 5 years' proven management experience required, preferably in the aesthetic industry.
  • Demonstrated proficiency with medical documentation in EMR and Microsoft Office products required.
  • Excellent interpersonal skills and ability to effectively communicate with all levels of the organization required.
  • Strong verbal and written communication skills required.
  • Excellent analytical and problem-solving skills required.
  • Computer literacy and knowledge of relevant health care and administrative software required.
  • Strong leadership, motivation, training and goal-setting skills required.
  • Financial and accounting skills required.
  • In-depth knowledge of health care finance best practices and standards required.
  • Organization and time management skills required.
  • Understanding of health and safety standards in the medical industry required.
  • Exceptional teamwork skills required.
  • Outstanding customer service focus required.
  • Attentive to the clinic environment and patients required.
  • Fast learner with general understanding of medical terminology and ethics of confidentiality/ HIPAA laws required.
  • Ability to maintain a professional appearance and demeanor required.
