Job Description

Job Overview:
We are seeking a motivated Inside Sales and customer service to join our dynamic sales team.

General Position Summary:
This role involves providing administrative support for sales and marketing activities as well as customer support functions. It requires exercising discretion and independent judgment, including advising management, planning, and negotiating.

Responsibilities:

  • Processing customers’ purchase orders (PO) and coordinating orders with the Production Department.
  • Preparing shipping documents and completing shipping processes accordingly.
  • Providing customer service for existing customers.
  • Contributing significantly to developing extensive relationships with global industrial partners and customers.

Essential Job Functions:

Customer Service:

  • Processing customers’ orders and preparing necessary correspondence and documentation.
  • Coordinating production schedules with the Production Department and negotiating shipment schedules with customers.
  • Negotiating production schedules with the Asian facility, preparing shipping plans, and coordinating shipping arrangements with freight forwarders and customers.
  • Assisting customers with any problems, questions, and issues related to orders.
  • Communicating with customers via phone, email, and facsimile for order processing, obtaining information, follow-up, etc.
  • Generating order confirmations and production advice sheets for new orders and stock items.
  • Monitoring product availability and delivery schedules constantly.
  • Verifying payment/shipping methods, terms and conditions, billing and shipping addresses, and contact information.
  • Keeping customer information updated as needed.
  • Providing estimated delivery dates to customers based on production and delivery schedule information.
  • Preparing shipping documents and processing shipping for UPS/FedEx/trucking LCL shipments in a timely manner.
  • Issuing invoices for each shipment accordingly.

Administrative:

  • Attending weekly office meetings for reporting and exchanging information between departments.
  • Creating sales forecasts and assisting Management/Production Department in developing production schedules.
  • Assisting Managers/Management in planning short-term sales objectives/goals.
  • Assisting Directors/Managers in forecasting for Seiko monthly.
  • Reporting to Directors/Managers if there are any issues or complaints from customers.
  • Providing research and supporting documents for issues/problems.
  • Assisting in providing sales order-related documents for audit.
  • Providing Sales Manager with inventory quantities of certain products by communicating with inventory control.
  • Assisting Sales Manager and supporting marketing activities.

Import and Export:

  • Preparing export-related documents for international shipments accordingly.
  • Providing sales quantity information to the Purchase Department for products to be imported.

Others & Miscellaneous:

  • Seeking constant improvement, increased efficiency, and commitment to high-quality work.
  • Performing special projects and other miscellaneous duties as assigned by management.
  • Maintaining high ethical standards in the workplace.
  • Reporting all irregular issues and problems to supervisors for solutions.
  • Maintaining good communication with management, office staff members, and outside contacts.
  • Complying with company policies and procedures.
  • Maintaining a clean and safe working area.

Qualifications:
Education & Work Experience:

  • Bachelor's degree (B.A.) from a four-year college or university; or one to two years of related experience and/or training; or equivalent combination of education and experience.
  • English and Japanese bilingual skills preferred.

Pay: $22.00 - $27.00 per hour

Expected hours: 40 per week
