POSITION DESCRIPTION
Under the direction of the Director, Sales, performs a wide variety of administrative and clerical support.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Answers phones for Sales and properly documents inquiries. Relays details to salesperson who is available or as directed by the Director of Sales.
Must become proficient in TPP and act as the expert in that area to develop its potential and train others.
Sets up file in TPP and maintain it from creating file to contract management and ultimately to final closure and reporting. Collection of credit card payments and entry in TPP.
Trace all critical deadlines and assist sales in performing deadline tasks so that all clients are well taken care of in a timely manner.
Maintain proposal templates and create proposals for sales managers and director as needed.
Manages RFP’s when needed.
Act as liaison to clients when Sales is out of the office and ensure that responses to client’s calls and emails are taken care of.
Assist with tastings. Confirm dates, times, and menus and forward them to all necessary team members. Act as client liaison when the Salesperson can’t be present due to other client’s commitments.
May be called upon to act as client liaison at events as determined by the Director of Sales.
Manage incoming delivery orders.

EDUCATION and/or EXPERIENCE
Associate degree (A. A.) or equivalent from two-year College or technical school; or two to five years related hospitality experience and/or training; or equivalent combination of education and experience. Proficient in Word, Excel, Publisher, Power Point, and Illustrator. Competent in social media platforms such as Facebook, Twitter, Instagram, and Linked In.
LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures and documentation, or governmental regulations. Ability to compose reports, business correspondence, event documents, and procedure manuals. Effectively present information and respond to questions from groups of managers, clients, customers, and the public.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
REASONING ABILITY
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to apply logical thinking to identify and explain problems, collect data, and establish fact, and create a valid conclusion or resolution to problems.

OTHER SKILLS AND ABILITIES
Excellent telephone skills. Ability to operate general office equipment (i.e., copy machine). Computer literacy with hands on experience of word processing and spreadsheet applications. Strong organizational and interpersonal skills including professional skills in public relations, strong written and oral communication skills. Ability to perform multiple projects simultaneously and prioritize responsibilities and work assignments. Ability to maintain confidentiality and a high level of business ethics.
PHYSICAL DEMANDS
While performing the duties of this job the employee works in an office at a computer workstation and accesses information from a computer; the employee is regularly required to sit, talk and/or hear. The employee must occasionally move up to 10 pounds. Must be able to read and comprehend a high volume of material in written and printed form, as well as on a computer screen. Must have the ability to coordinate several activities simultaneously. Must be able to handle stressful situations in a calm, professional manner.
