Key Responsibilities:
- Client Engagement: Provide outstanding customer service through clear, professional communication, accurately addressing client inquiries, and managing expectations throughout the sales process.
- Sales and Proposal Development: Collaborate with the sales team to prepare detailed, accurate event proposals and quotes. Actively identify new sales opportunities to contribute to meeting or exceeding sales goals.
- Data Entry and Record Management: Ensure all client information, event details, contracts, and related documentation are entered accurately and efficiently, managing a high volume of data entry with precision (70-75% of the role).
- Troubleshooting and Problem-Solving: Proactively identify issues and resolve challenges related to event details, contracts, or sales activities to ensure seamless execution.
- Administrative Support: Provide strong administrative support to the sales team, taking ownership of day-to-day tasks while maintaining consistency and focus, especially with complex data and logistics.
- Detail-Oriented Workflow: Maintain a high level of attention to detail throughout the sales and event planning process, ensuring thoroughness and accuracy in every task.
- Autonomous Initiative: Manage tasks independently with minimal supervision while regularly checking in with the owner to ensure alignment with company goals.
- Flexibility and Adaptability: Quickly adjust to changing priorities and client needs, maintaining a solutions-oriented mindset and the ability to work effectively under pressure.
Qualifications:
- Proven ability to thrive in a fast-paced, high-pressure environment with a strong focus on data entry, accuracy, and troubleshooting (75-90 words per minute).
- Strong customer service background with a clear understanding of client management.
- Excellent verbal and written communication skills, capable of delivering professional and clear communication to clients and team members.
- Detail-oriented and organized, with the ability to manage multiple tasks and ensure no aspect of a project is overlooked.
- Resilient and adaptable, able to handle challenges or changing priorities with a calm and solutions-oriented approach.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and capable of quickly learning new software. Experience with event planning tools or CRM software is a plus.
- Self-motivated with the ability to take initiative, working independently while aligning with company goals and team direction.
- Resourceful with excellent problem-solving skills to troubleshoot issues and anticipate needs throughout the sales and event planning process.
- Previous experience in sales or administrative roles, preferably in event planning, hospitality, or a related field, with a history of work experience in customer service and interior or architectural design.
- High level of focus, able to tune out distractions, ensuring tasks are completed with accuracy and care.
