JOB SUMMARY
This position is responsible for entering customer orders into our ERP system (SX. enterprise) for material & merchandise received by fax, email, EDI or internet. The position will respond to incoming customer inquiries via telephone or email. May resolve issues or questions related to status of an order, shipping, quality, quantity, sales, warranty, or any other customer service-related matter. Spends majority of time on the phone with external customers. Also works with internal sales team, warehouse and shipping staff to assist in resolving issues.
DUTIES AND RESPONSIBILITIES (ESSENTIAL FUNCTIONS)
Specific duties include, but are not limited to:
· Answer and direct all incoming calls.
· Speak, Write & Read French fluently.
· Entering data from customer-generated purchase orders including part numbers, pricing and shipping instructions into our SX. enterprise system
· Imputing and maintaining EDI orders on multiple platforms
· Edit and verify all orders received for pricing and product availability.
· Gather and inform customers on accurate product lead time and order ship dates via fax or email.
· Prepare custom papers for US customers.
· Handle pricing requests and research existing quotes.
· Resource Google on Distribution networks, tracking shipment and product information for customers.
· Record or file copies of orders received according to order received dates.
· Generate picking slips for the warehouse staff and invoicing for customers.
· Resolve customer issues/problems within a specified time frame.
- Advise customers of credit approvals and denials
- Initiate customer credits and return merchandise authorization requests along with lost or damage freight claims.
- Assist customers with product applications and inquiries.
- Work closely with field representatives to provide superior service to customers.
- Various administrative functions including filing, data entry and administrative support functions for customer service department.
SKILLS AND EDUCATIONAL REQUIREMENTS
Must be able to work in a fast paced, high-volume environment, and have a strong attention to detail. Must be a proactive “self-starter” who can work well without supervision. Must have ability to prioritize and resolve customer related issues effectively with limited supervision. Position requires a high energy level & ability to prioritize heavy volume workload. Analytical and detail skills a must. Must have a background in at least one EDI platform. Experience with industry standard software programs such as Microsoft Office required. Completion of a High School diploma and 2 years of inside sales/call center/customer service experience. Fluent in both English and French. Knowledge of Infor SX. enterprise and Salesforce a plus.
INTER-RELATIONSHIPS
Direction is given by the General Manager VP. Regular interface with all levels of corporate employees and contact with field staff as well, particularly warehouse and shipping, and outside sales team. High level of contact with outside customers.
WORKING CONDITIONS
Smoke-free, professional office environment. Workstation may be in a high traffic area within a busy department. The standard workweek is 37.5 hours, with the ability to work overtime when needed.
PHYSICAL REQUIREMENTS
Must have the ability to use hands and fingers to complete tasks quickly and efficiently. In addition, must have the ability to move freely throughout the facility without physical limitation, and capacity to sit for long periods of time. Must be able to lift up to 25 lbs., and have the ability to bend, stoop and reach.

Pay: $25.00-$30.00 per hour
