Job description

The scheduling coordinator provides critical oversight of client schedules and management of the field employees. The scheduling coordinator will participate in the hiring process, scheduling, management, and retention of the field employees who, together, provide the highest level of client care and customer experience in accordance with applicable laws, regulations, and company policies, procedures, and company standards. The scheduling coordinator will be responsible for providing clear communication while building and maintaining relationships with employees, clients, and families. This position will work closely with the office account manager to ensure the long-term success of the office.

Qualifications

  • Bachelor’s degree in healthcare management or administration, business, marketing, provider relations preferred or equivalent experience.
  • 1-2 years experience in a team environment (professional/academic).
  • Understanding of customer service principles
  • Excellent interpersonal and communication skills.
  • Excellent problem-solving skills.
  • The ability to work in a fast-paced environment and work well under pressure.
  • The ability to build relationships with employees, clients, and other departments.

Duties
As the Scheduling Coordinator, you will perform various duties and responsibilities as they pertain to scheduling nursing staff including but not limited to the following:

  • Work with the account manager to expand client portfolio by admitting new clients onto services promptly.
  • Assist in the hiring process of all field staff. Provide a positive experience for all candidates from skills check off through first shift worked.
  • With the assistance of the account manager, negotiate pay rates with prospective employees that are financially responsible.
  • Under account manager supervision, manage field staff per company policy.
  • Ensure qualified field staff are scheduled per authorized plan of care. Enter schedules promptly and update as needed. Ensure schedules are entered ongoing, remain current, and all changes are entered promptly. Ensure schedules are up to date prior to leaving for the day and the weekend.
  • Ensure clear communication when scheduling field staff and when speaking to clients.
  • Work with a sense of urgency when staffing a new request or filling a callout.
  • Ensure constant communication with clients or families when there are any changes to a schedule.
  • Build and maintain relationships by providing clear communication with all office and field employees, clients, and their families.
  • Report crises and incidents to the account manager and director of nursing as they arise.
  • Participate in on-call which will include taking all after hours and weekend calls from nurses and clients.
  • Ensure timely and accurate submission of all required documentation. Review and approve payroll by payroll deadline per policy.
  • Act as a financial steward by maintaining a healthy GP. This will require monitoring employee payrates and keeping overtime within reasonable limits.
  • Always use good judgment. Understand and adhere to all company policies and procedures as well as corporate goals and objectives. Understand and adhere to all applicable state and federal laws and regulations.
  • Always demonstrate professional behavior. Arrive on time and maintain required office hours.
  • Perform specific projects as requested by the account manager or leadership.

System Skills

  • Proficient computer skills including Microsoft Office.
  • Ability to learn and adapt to different electronic medical records (EMRs)
