Job Description: Sales Support Specialist

Reports to: Sales Manager

Position Overview

The Sales Support Specialist is responsible to provide seamless administrative and operational support to the sales team, ensuring that all customer orders are fulfilled, processed and delivered with precision and care. This role is dedicated to enhancing customer satisfaction by maintaining high standards of service, working with the Account Managers to fulfill all wholesale orders, and doing so efficiently, timely and accurately. In supporting the fulfillment of orders to local and shipped wholesale customers, the Sales Support Specialist plays a vital role in delivering an outstanding experience to our clients while allowing the Account Managers to manage the client relationship and drive revenue, upholding the company’s reputation for quality and reliability in the floral industry.

Key Responsibilities

Duties consistent with the position include, but not limited to:

Sales Team Support

  • Assist the sales team with administrative tasks, including preparing quotes, processing orders, and managing customer accounts.
  • Coordinate communication between the sales team and clients to ensure accurate and timely updates on order status, product availability, and delivery schedules.
  • Prepare and distribute sales reports, presentations, and other sales-related documentation as needed.

Order Processing and Fulfillment

  • Accurately process customer orders in the system, ensuring all details are correct and meet customer specifications.
  • Collaborate with the warehouse and logistics teams to oversee the fulfillment of orders, ensuring products are picked, packed, and shipped according to the customer's requirements and company standards
  • Monitor order progress and proactively communicate with the sales team and customers about any delays, changes, or issues with order fulfillment.
  • Coordinate with suppliers and internal teams to ensure the availability of products needed to fulfill orders.

Customer Service

  • Respond to customer inquiries via phone, email, and in person, providing detailed information about products, pricing, and order status.
  • Address customer issues, resolve complaints, or escalate them to the appropriate team member to ensure prompt and satisfactory resolution.
  • Maintain and enhance customer relationships by delivering high-quality service and timely follow-ups.
  • Provide outstanding and courteous service to our customers visiting our location.
  • Provide backup support for our Account Managers

Quality Control

  • Ensure that all products meet quality standards before they are shipped to customers.
  • Handle any quality issues with products, coordinating with the appropriate teams to resolve them efficiently.

Working and Physical Conditions:

  • Working in warehouse and floral coolers at temperatures as low as 4 degrees Celsius for extended periods.
  • Capable of lifting, pulling, and pushing objects weighing up to 50lbs, including product cases and water-filled buckets.

Qualifications:

  • Minimum of 2 years of experience in a sales support or customer service role, preferably within the floral or wholesale industry.
  • Possess the ability to visually identify floral products by name.
  • Strong organizational and multitasking abilities, with superior attention to detail.
  • Strong sense of urgency and focus.
  • Excellent communication and interpersonal skills, with a customer-first attitude, both for internal team members and clients.
  • Ability to work collaboratively with cross-functional teams to ensure seamless execution.
  • Proficiency in order processing systems, custom software, and Microsoft Office Suite.
  • High school diploma or equivalent required
  • Knowledge of floral products and industry trends is highly desirable.
  • Ability to thrive in a fast-paced environment and handle multiple priorities while ensuring accuracy.

Job Types: Full-time, Part-time

Pay: $20.00-$24.00 per hour

Expected hours: 32 per week

Additional pay:

  • Overtime pay

Experience:

  • Order fulfillment: 1 year (preferred)
  • Floral: 2 years (required)
