The team is comprised of plumbers, steam fitters, sheet metal and service technicians making it a complete mechanical contractor. We are looking for candidates to fill the following position:
Construction Administrative Coordinator
Key Tasks and Responsibilities
- Act as a liaison between project managers and the accounting department to ensure smooth communication and workflow.
- Organize and track monthly progress draws, ensuring timely submissions and approvals.
- Set up new contracts for customers, ensuring all necessary paperwork is completed and documented.
- Oversee the new customer setup process, including sending and receiving documentation such as WSB, insurance certificates, and trade certificates.
- Maintain accurate and up-to-date records of contracts, certificates, and related documentation.
- Communicate with clients and internal departments to ensure all administrative tasks related to construction projects are completed efficiently.
- Assist in the preparation and submission of project-related reports and documentation.
- Support the accounting department with project billing and any related inquiries.
Profile and skills we are looking for
- A diploma or degree in Business Administration, Construction Management, or a related field is preferred but not required.
- Experience in a construction or contracting environment is preferred.
- Strong organizational and multitasking skills, with the ability to manage several projects simultaneously.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and project management software.
- Excellent communication skills, both verbal and written.
- Attention to detail and ability to work under tight deadlines.
- Knowledge of industry-related documentation such as WSB, insurance, and trade certificates is an asset.
