JOB PURPOSE
To assist the Sales, Catering and Events departments in coordinating and disseminating detailed information related to sales and service functions to all departments of the hotel.
ESSENTIAL FUNCTIONS
- Lead management for Sales and Catering to include qualification and proper assignment to managers based on current market deployment.
- Sales, Catering and Event Manager expense report assistance to include receipt organization and proper coding.
- Management of the purchase order system to include PO creation and coding along with office supplies purchasing and receiving.
- Greet and welcome potential clients.
- Receive incoming phone calls to qualify, assist customers/guests, forward as necessary to managers, directors and other hotel staff members.
- Data entry using Delphi, Microsoft Office and Excel.
- Assists managers and other administrative assistants/coordinators in the department in various tasks such as: correspondence, generating and creating reports, group resumes, Passkey, rooming lists and special guest requests.
- Copies and distributes internal/external letters, forms, bookings, contracts, resumes, rooming lists, schedules, lost business and mail to other departments and clients.
- Special projects as required but not limited to; incentive manuals, Data base reports, maintaining Administrative files, creating forms and ensuring forms letters are updated and current. Other duties assigned by the Director of Commercial Services/Director of Sales and/or Assistant Director of Sales.
- Assist the Sales team and Sales Administrative Assistant with site inspection preparation and execution to include daily show rooms, amenities, meeting rooms and meal arrangements.
- Prepares and organizes files to facilitate the transition into Events Department.
- Prepares, handles, receives and processes, files, faxes, check requests as needed.
- Maintenance of all computer data and organization for the Sales department to include creating new file folders, reader files and past manager.
- Prepares meeting minutes.
- Enters schedule of events.
- Other duties as assigned.
