POSITION SUMMARY

Admissions director is responsible in achieving budgeted census through sales and marketing efforts. Will follow up on necessary leads to increase qualified referrals into touring the community. Will assist in managing and qualify all leads, tour community with potential residents and families, promote programs and care services, convert tours into move-ins, and handle move-ins in accordance with federal and state laws and company policies and procedures. Demonstrate integrity and effectiveness in communicating programs and services offered. Complete all move-in paperwork with families and ensure all required paperwork gets to the correct departments 24 hours prior to a move-in.

Reports to: Executive Director and Divisional Director of Sales and Marketing

PERFORMANCE EXPECTATIONS

  • Assist in achieving budgeted census
  • Tour Prospective residents
  • Follow up on incoming referrals in a timely manner
  • Customer satisfaction – measured by satisfaction survey, meeting expectations set in sales process
  • Assist new move-ins on day of move-in and follow up with families to ensure their satisfaction
  • Complete all move-in paperwork and ensure each department has information needed at least 24 hours prior to move-in
  • Ensure rooms are rent ready

ESSENTIAL DUTIES

  • Ensure all inquiries, including in-coming calls, walk-ins, referral leads, or website leads are effectively managed, entered into sales database, and scheduled for follow up.
  • Responsible for obtaining all required medical records and move-in forms per Title 22 regulations and company policy.
  • Support residents and families throughout move-in process to ensure a successful transition.
  • Prepare and provide reports to Executive Director as requested on census, room availability, move-ins, move-outs, transfers, deposits, tours, and inquires when marketing director is out of the building.
  • Identify and track referral sources of each prospect to measure success rate of referral partnerships and identify key referral sources.
  • Assist in planning community events
  • Assure confidentiality in all matters, including but not limited to employee and resident information.
  • Attend stand-up when marketing director is unavailable.
  • Communicate with maintenance team to ensure apartments are rent ready.
  • Greet and orient new move ins.
  • Maintain compliance with all Federal (Title 22) and state regulations and company policies and procedures applicable to job duties.
  • Maintain a safe and secure environment for all staff, residents and guests, following established safety standards.
  • Encourage teamwork among all departments and assist with conflict resolution.
  • Present positive and professional image no jeans except on Fridays.
  • Per State of California regulations, as a “mandated reporter” you must report all known or suspected incidents of resident abuse of dependent adults or elders.
  • Performs other duties as assigned and consistent with the success of the position.
  • Assist in interviewing residents/guardians and obtaining required information and signatures.
  • Develop and maintain a good working rapport with inter-department personnel, as well as other departments within the facility.
  • Assist in developing procedures to ensure records are properly completed before filing.
  • Collect, assemble, and check admission papers. Forward to appropriate department.
  • Forward completed medical records to the Medical Records Department as appropriate.
  • Maintain a record of authorized information taken from records i.e., type information, name of recipient, date, department, etc.
  • Abstract information from records as authorized/required for insurance companies, Medicare, etc.
  • Notify nursing service when the resident has arrived at the facility to assure that a member of the nursing staff escorts the resident to his/her assigned room.
  • Maintain various registries as directed including register for admission and discharge of residents.
  • Explain to the resident, and/or guardian, room rates, billing procedures, visitors/guest privileges, restrictions, resident care procedures, etc., as appropriate.
  • Notify nursing service and call for assistance, as necessary, if resident is disturbed/violent on admission or if resident shows symptoms of infectious/communicable disease.
  • Refer admission problems to proper authority, i.e., office supervisor, credit manager, nursing service, etc.
  • Keep abreast of current Medicare/Medicaid regulations governing admission/discharge requirements of health care facilities.
  • Maintain daily and monthly census report as directed.
  • Maintain current records of all residents admitted/discharged by this facility in accordance with established policies and procedures.

MINIMUM QUALIFICATIONS

Minimum Age Requirement:

Must be at least 18 years of age.

Education:

Bachelor’s Degree from 4 year university preferred.

First Aid Training as required.

Experience:

Prefer at least two (2) years’ experience providing residential care to the elderly. Additional experience in specialized dementia care preferred.

Mathematical/Reasoning

Skills:

Able to perform calculations for tracking census and preparing reports, understand and define problems, collect data and resolve issues in stressful situations.

Communication Skills

Clearly and informatively communicate complex ideas to a diverse audience (employees, residents, family members, and agencies in writing and verbally. Analyze and interpret complex information and respond appropriately.

Computer Skills

Proficient in operating office equipment and computers including email, word processing, excel applications.

Working Conditions:

Well-lighted and with appropriate ventilation and temperature levels.

Other Requirement:

Employee must pass a criminal record clearance, health screening and drug testing prior to beginning work in the community.

Physical Demands:

Must be able to regularly listen and speak to individuals, sit and stand for long periods, move about the community, bend, reach, and grasp. May occasionally need to lift up to 20 lbs., and assist with pushing, helping or lifting residents. Good vision is required.

Job Type: Full-time

Pay: $20.00 - $30.00 per hour
