Position: Inside Sales/Contract Administration (Full-Time, Permanent)

Job Type: Full-Time, Permanent

Schedule: 8 hours per day, Monday - Friday (Onsite)

Salary: $55,000 - $70,000 per annum

Location: Port Kells, BC

Exciting Opportunity: We are seeking a motivated and detail-oriented Inside Sales/Contract Administrator to join our dynamic team. This role is key to ensuring smooth service operations and delivering exceptional client satisfaction. The ideal candidate has excellent interpersonal skills, industry or related experience and is driven to exceed client expectations.

Key Responsibilities:

Client Recommendations and Quotes

o Collaborate with technicians and Service Manager to deliver technician recommended proposals to clients.

o Develop and deliver accurate quotations for maintenance services, repairs, or system enhancements.

o Actively follow up with clients on recommendations to maximize conversion rates and maintain strong long term client relationships.

Parts Coordination and Management

o Oversee the ordering of parts, ensuring availability for scheduled service calls and maintenance related tasks.

o Coordinate with suppliers to source, order and track necessary parts promptly.

o Maintain accurate records of inventory levels and parts usage to support efficient service delivery.

Contract Administration

o Support the administration of service contracts, including entering and updating contract records.

o Act as a liaison between clients and the service team, addressing inquiries and ensuring contractual obligations are met.

o Track and communicate key milestones related to service agreements and renewals

Filter Management

o Oversee the ordering of air filters, belts and other parts as part of preventative maintenance programs.

o Track filter inventory and coordinate with the service team for installation and timely completion of preventative maintenance programs.

Qualifications:

● Previous experience in the HVAC, plumbing, or mechanical service industry is preferred.

● Strong organizational and multitasking skills with a focus on detail and accuracy.

● Proficiency in using service management software and MS Office Suite.

● Excellent written and oral communication skills to interact with clients, technicians, and vendors.

● A proactive attitude with the ability to identify opportunities for client improvements and upselling.

● Social media or marketing skills are an asset but not mandatory.

Compensation and Benefits:

● Competitive base salary: $55,000 - $70,000 per year, based on experience.
